Job Overview: The Information Management Assistant role is crucial for ensuring compliance with DRC's procedures and guidelines within Ukraine. This position has a country focus and plays a significant role in the development of country strategies that are translated into actionable plans and daily tasks. The assistant will provide support and technical guidance to country operations while overseeing various activities. The primary responsibilities include managing and coordinating the Information Management system for DRC programs, offering database support to program colleagues, and ensuring effective reporting and archiving. The role also involves coordinating with field and program staff to meet all information management and monitoring needs, thereby contributing to the overall success of DRC's mission in the region.
Duties and Responsibilities: The main duties and responsibilities of the Information Management Assistant include:
Maintaining documentation by receiving reports, registering relevant records in logs, ensuring proper organization and storage of hard copies, and archiving records systematically.
Reviewing and processing spatial data related to daily demining progress within the digital Information Management system and ensuring the availability of corresponding hard-copy records.
Preparing and updating both paper and digital maps according to approved formats and standard templates.
Providing technical support to Team Leaders regarding the use of the Information Management system.
Performing electronic records management duties, including uploading, managing, and sharing records via the electronic document management system (MS SharePoint).
Supporting program colleagues with technical difficulties or questions related to the database and Information Management, including delivering training on database usage.
Assisting in the development of online tools and forms using Survey123 and Field Maps.
Conducting weekly data quality checks of the database and reporting any issues or changes to the IM Coordinator.
Managing tablets by ensuring their safekeeping, updating them with the correct forms, uploading data, and tracking changes in data collection tools. 1
Ensuring timely updates of information related to program activities, such as team composition, equipment inventory, and activity status. 1
Applying data management techniques and procedures while ensuring all data is protected and kept confidential in line with DRC’s Information Management Standard Operating Procedures (SoPs).
Required Qualifications: To be considered for the Information Management Assistant position, candidates must possess the following qualifications:
Previous experience in using ArcGIS is a key requirement for this role.
Strong knowledge of MS Word, Excel, PowerPoint, and Outlook is essential.
Basic data analysis experience and knowledge are also required.
Fluency in the Ukrainian language is mandatory, while intermediate English proficiency will be considered an advantage.
Educational Background: Candidates applying for the Information Management Assistant position should have a university degree in a relevant field such as Information Technology, Information Systems, Statistics, or Social Sciences. Alternatively, an equivalent professional qualification may be accepted. This educational background is crucial as it provides the foundational knowledge necessary for effective information management and data analysis within the context of DRC's operations.
Experience: The position requires at least one year of relevant experience at the national or international level in information management, database management, and mapping, particularly using ArcGIS. This experience is vital for ensuring that the candidate is well-equipped to handle the responsibilities associated with managing DRC's Information Management system and supporting program colleagues effectively.
Languages: Fluency in the Ukrainian language is mandatory for this position, as it is essential for effective communication and documentation within the local context. Additional Notes: The contract for the Information Management Assistant position includes a 3-month probation period, with the possibility of extension based on performance and funding availability. The designated duty station for this role is Mykolaiv, and the expected start date is June 1st, 202
