Job Overview:
The Information Management Assistant plays a crucial role in managing and coordinating the Information Management system for DRC's programs. This position is responsible for providing IM and database support to program colleagues, ensuring that all information management and monitoring needs are met. The assistant will report directly to the Information Management Manager and will be involved in various tasks such as reporting, archiving, and supporting data collection and entry processes. The role has a country focus, ensuring compliance with DRC procedures and guidelines, and contributes to the development of country strategies that are implemented through action plans and daily operations. The assistant will also provide technical guidance to country operations, ensuring that all data is managed effectively and securely, in line with DRC’s Information Management Standard Operating Procedures (SoPs).

Duties and Responsibilities:
The main duties and responsibilities of the Information Management Assistant include: maintaining documentation by receiving reports, registering relevant records in logs, ensuring proper organization and storage of hard copies, and archiving records; reviewing and processing spatial data on daily demining progress within the digital Information Management system and ensuring the availability of corresponding hard-copy records; preparing and updating paper and digital maps according to approved formats and standard templates; providing technical support to Team Leaders on the use of the IM system; performing duties related to electronic records management, including uploading, managing, and sharing records via the electronic document management system (MS SharePoint); supporting program colleagues with technical difficulties or questions related to the database and Information Management; delivering training on database usage; supporting the development of online tools and forms in Survey123 and Field Maps; conducting weekly data quality checks of the database and reporting any issues to the IM Coordinator; managing tablets by ensuring their safekeeping, updating them with correct forms, uploading data, and tracking changes in data collection tools; ensuring timely updates of information related to program activities; applying data management techniques and procedures; and ensuring all data is protected and kept confidential in accordance with DRC’s Information Management SoPs.

Required Qualifications:
To be considered for this position, candidates must possess a university degree in Information Technology, Information Systems, Statistics, Social Sciences, or a relevant field, or have an equivalent professional qualification. Previous experience in using ArcGIS is a key requirement, along with strong knowledge of MS Word, Excel, PowerPoint, and Outlook. Full professional proficiency in Ukrainian is mandatory, while basic data analysis experience and knowledge, as well as an intermediate level of English, are desirable qualifications.

Educational Background:
Candidates must have a university degree in a relevant field such as Information Technology, Information Systems, Statistics, or Social Sciences. Alternatively, equivalent professional qualifications will also be considered acceptable for this role.

Experience:
The position requires at least one year of relevant experience at the national or international level in information management, database management, mapping, and the use of ArcGIS. This experience is essential to ensure that the candidate can effectively manage the information systems and support the program colleagues in their data-related needs.

Languages:
The mandatory language for this position is Ukrainian, with full professional proficiency required. Additionally, having an intermediate level of English is considered a desirable asset, as it may facilitate communication and collaboration with international colleagues and stakeholders.

Additional Notes:
This is a national position, and only Ukrainian citizens will be considered for this role. The contract length includes a 3-month probation period with the possibility of extension until December 31, 2026, depending on performance and funding availability. The position is classified as Band I (non-manager) and is based in Kharkiv. The expected start date for this position is June 202
