Job Overview: The Grants Specialist position at DRC is a critical role that involves overseeing the grants management for the Venezuela Country Office (CO) portfolio. This position is essential for ensuring compliance with donor regulations and DRC's internal policies. The Grants Specialist will be responsible for effective proposal development, ensuring timely reporting, and maintaining accountability to donors. The role requires close collaboration with various stakeholders, including the Head of Programme, Support Services Managers, Technical Coordinators, and the Senior Management Team. The Grants Specialist will play a pivotal role in managing grants effectively, ensuring that all contractual obligations are met, and that the organization maintains a strong relationship with its donors. This position is not only about managing existing grants but also involves actively participating in new business development, ensuring that the organization is well-positioned to secure funding for its programs.
Duties and Responsibilities: The Grants Specialist will have a comprehensive set of responsibilities, including but not limited to:
Daily Grants Management and Administration: Overseeing high-quality contract management, anticipating potential risks, and implementing mitigation strategies. Communicating with donors and preparing necessary documentation for contract modifications. Coordinating grant-related meetings, monitoring progress against timelines, and participating in KPI meetings. Maintaining and updating DRC's Grants Management Card and internal documentation systems to ensure data quality.
Compliance Monitoring and Quality Assurance: Acting as the focal point for donor compliance, ensuring understanding of contractual obligations, and providing advice on grants management matters. Conducting quality control on contracts before signature and ensuring that all reporting deadlines are met. Troubleshooting gaps in deliverables and leading contract amendments as necessary.
Reporting and New Business Development: Coordinating training for proposal development and reporting, updating donor mapping, and maintaining communication with donors. Participating in external coordination meetings and supporting the Head of Programme in proposal planning and development. Collaborating with various teams to gather input for proposals and ensuring that all submissions meet quality standards.
Promoting Diversity, Equity & Inclusion: Displaying respect and care for all employees and participating in ad-hoc tasks as assigned by the Head of Programme.
Required Qualifications: The ideal candidate for the Grants Specialist position will possess a range of qualifications, including:
Excellent communication and interpersonal skills, with the ability to build relationships with both internal and external stakeholders.
A minimum of 3 years of experience in grants management, preferably within an international NGO or donor-funded organization.
Knowledge and experience in multiple sectors, including protection, security" style="border-bottom: 1px dotted #007bff !important;">security" style="border-bottom: 1px dotted #007bff !important;">food security, and livelihoods.
Solid experience in compiling donor proposals, modification requests, and reports, with practical experience working with various donors such as UNHCR, SIDA, ECHO, GFFO, VHF, and private foundations.
A demonstrated ability to prioritize workloads, meet deadlines, and adapt to complex work environments.
A commitment to humanitarian principles and DRC values.
Educational Background: Candidates must hold a University Degree in Social Sciences, International Development, or a related field. This educational background is essential for understanding the complexities of humanitarian work and the specific challenges faced by displaced populations.
Experience: The position requires at least 3 years of relevant experience in grants management, ideally within an international NGO or a donor-funded organization. This experience should encompass a solid understanding of donor regulations and the ability to manage multiple grants simultaneously while ensuring compliance and quality assurance.
Languages: Fluency in English is essential, encompassing speaking, writing, and reading skills. Additionally, communication skills in Spanish are mandatory, as the role will involve interaction with local stakeholders and partners.
