Job Overview:
The UN Volunteer position involves providing administrative and operational support under the supervision of the Operations Officer and guidance from the WHO Representative. The role is crucial in ensuring smooth operations within the office environment, where tasks are assigned by the supervisor. The volunteer will be responsible for various administrative functions, including travel arrangements, contract initiation, and maintaining electronic files. The position requires a proactive approach to managing tasks independently while adhering to established guidelines. The volunteer will also engage in supporting meetings and workshops, contributing to the overall efficiency of the team.

Duties and Responsibilities:
  • Prepare and process travel requests for team members, including visa issuance and bookings.
  • Manage incoming calls and visitors with discretion, prioritizing inquiries.
  • Initiate contracts and requisitions in GSM/BMS systems, monitor deliverables, and manage payments.
  • Liaise with staff and service providers to resolve outstanding issues.
  • Maintain organized electronic files and reference materials.
  • Record and prioritize incoming queries, ensuring timely follow-up.
  • Provide administrative support for meetings, including documentation preparation.
  • Brief colleagues on office processes and assist with administrative tasks as needed.
  • Participate in field visits when required.

Required Qualifications:
Candidates should possess strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively. Proficiency in using office software and communication tools is essential. The role requires a commitment to ethical standards and respect for diversity, along with the ability to work collaboratively in a team environment. Strong communication skills, both written and verbal, are necessary for effective interaction with colleagues and stakeholders.

Educational Background:
A minimum of a high school diploma is required, with preference given to candidates who have completed higher education or possess relevant certifications in administration or related fields. Additional training in project management or public health is advantageous.

Experience:
Candidates should have prior experience in administrative roles, preferably within international organizations or NGOs. Familiarity with travel management and procurement processes is beneficial. Experience in a multicultural environment is a plus, as the role involves interaction with diverse teams and stakeholders.

Languages:
Fluency in English and French is mandatory, as these are the primary languages of communication within the organization. Knowledge of Arabic is considered an asset, enhancing the ability to engage with local stakeholders and communities.

Additional Notes:
The position is a volunteer role with a living allowance of MAD 13,179.16 per month. Volunteers are entitled to a pre-assignment entry lump sum and relocation costs if applicable. The assignment includes comprehensive health and life insurance coverage. Volunteers will receive annual leave of 2.5 days per month and an exit lump sum upon successful completion of the assignment. The living conditions in Rabat are favorable, with access to essential services and a peaceful environment.
