Job Overview:
The Program Assistant will play a crucial role in supporting the International Visitor Leadership Program (IVLP), which has been a cornerstone of U.S. diplomacy since its inception in 194
  • The primary function of this position is to provide essential administrative support for the program, which aims to strengthen U.S. national security" style="border-bottom: 1px dotted #007bff !important;">security by fostering relationships between American and international leaders. The Program Assistant will be responsible for a variety of tasks including processing payments, making travel arrangements, and monitoring project objectives. This hybrid role requires effective communication with staff and colleagues, as well as strong organizational skills to manage multiple tasks and deadlines efficiently. The assistant will also be involved in logistical arrangements for international visitors, ensuring a smooth experience for participants and stakeholders alike.

Duties and Responsibilities:
The Program Assistant's duties will include:
  • Finance Support (50-75%): - Processing invoices and payment packages in the financial system, obtaining necessary approvals, and submitting them for processing. - Producing financial documents and maintaining financial data in project databases. - Serving as a point of contact for project staff regarding reimbursement requests and invoices.
  • Programmatic Administration (25%-50%): - Making logistical arrangements for international visitors, including travel, accommodations, and transportation. - Producing project materials such as arrival packets and administrative documents. - Planning project-related meetings, including booking venues and preparing materials. - Setting up technology for meetings and managing virtual meeting logistics. - Maintaining project files and databases, ensuring proper storage and archiving of documents. - Acting as a backup for colleagues at the same level when necessary.

Required Qualifications:
Candidates must possess strong organizational skills and the ability to manage logistics for multiple projects simultaneously. Proficiency in Microsoft Office Suite is required, along with strong oral and written communication skills. The ideal candidate should demonstrate professionalism in written correspondence and possess strong interpersonal skills, particularly in cross-cultural communication. A basic understanding of project design concepts and procedures is also necessary.

Educational Background:
An Associate's Degree or its international equivalent is required for this position. This educational background provides the foundational knowledge necessary for effective administrative support and project management.

Experience:
The position requires 0 to 2 years of relevant administrative experience. Candidates should have prior experience using Microsoft Office Suite and demonstrate strong organizational skills. Experience in processing payments is considered an asset, as is a demonstrated interest in international exchanges and strong communication skills.

Languages:
Fluency in English is mandatory, and proficiency in the host country language is preferred as appropriate for the role. This linguistic capability is essential for effective communication with international visitors and stakeholders.

Additional Notes:
This is a hybrid role based in Washington, DC, requiring the candidate to reside in the area and work from the office frequently. The expected salary range for this position is between USD 45,000 and 55,000 annually, depending on experience and qualifications.
