Job Overview: The Human Resource (HR) Assistant position at UN Women is crucial for providing administrative and logistical support in various HR functions. Under the technical guidance of the Regional HR Business Partner, the HR Assistant will be responsible for supporting recruitment and placement processes, administering benefits and entitlements for staff and local contractors, and managing other HR administrative issues. Duties and Responsibilities: The HR Assistant will perform a variety of duties, including but not limited to: administering and implementing HR strategies and policies in compliance with UN Women rules; providing general information to management and staff on HR matters; preparing written responses to HR-related queries; processing and drafting correspondence; maintaining files and records; managing leave and record management; processing payments and administering entitlements for international staff; facilitating recruitment processes by drafting job descriptions, screening candidates, and preparing recruitment recommendations; monitoring compliance with performance appraisal reviews; maintaining HR databases and generating reports; organizing training courses and workshops; and liaising with HR headquarters to disseminate information on HR matters. The HR Assistant will also be responsible for ensuring that all HR transactions are accurately recorded and tracked in the Quantum system, facilitating knowledge building and sharing best practices in HR administration.
Required Qualifications: The position requires a completion of secondary education as a minimum. A Bachelor’s degree in Human Resources, Business Administration, or Public Administration is considered an asset. Candidates must possess strong knowledge of HR administration, processes, and policies, along with the ability to handle confidential information and execute administrative processes effectively. Good quantitative skills and strong IT skills are essential, as well as the ability to produce reports and provide inputs for business process re-engineering.
Educational Background: Candidates must have completed secondary education, with a Bachelor’s degree in HR, Business, or Public Administration being an asset. This educational background is essential for understanding the complexities of human resource management and administration within the context of UN Women’s operations.
Experience: Candidates should have at least 5 years of relevant experience in office administration and/or human resource management. Experience within the UN system or international organizations is highly desirable. Proficiency in using computers and office software packages, such as MS Word and Excel, is required. Familiarity with modern web-based ERP systems, preferably Oracle Cloud, is also desirable, as it will aid in the efficient management of HR processes.
Languages: Fluency in French is required for this position, as it is essential for communication within the organization and with stakeholders. Knowledge of another official UN language, such as English, Arabic, Chinese, Russian, or Spanish, is considered desirable and would enhance the candidate's ability to engage in a multilingual environment.
