Job Overview: The HR Assistant position at WFP involves providing a range of human resourcessupport services that require a strong attention to detail and the ability to manage multiple priorities effectively. The role is integral to the Talent Acquisition Team, where the incumbent will contribute to the efficient delivery of HR services within the Country Office. The HR Assistant will be responsible for supporting the recruitment process, which includes creating job requisitions, screening applications, preparing assessments, scheduling interviews, and conducting background checks. This position requires a proactive approach to managing HR data and ensuring compliance with established HR standards. The HR Assistant will also assist in preparing HR reports and dashboards, responding to HR queries, and providing administrative support in various HR processes. The role is crucial in maintaining the integrity and efficiency of HR operations, particularly in a challenging humanitarian context like Syria, where the needs are significant and the environment is dynamic.
Duties and Responsibilities: The HR Assistant will have a comprehensive set of responsibilities, including but not limited to:
Supporting the recruitment process by creating job requisitions, screening applications, preparing written assessments, scheduling and attending interviews, drafting selection reports, and conducting candidate background checks.
Organizing and updating recruitment files and documentation to ensure completeness, accuracy, and compliance with HR standards.
Extracting, cleaning, and consolidating HR data related to recruitment, staffing, and contracts to facilitate reporting and analysis.
Assisting in the preparation of HR reports and dashboards by organizing and presenting data in user-friendly formats.
Responding to routine HR queries from staff and candidates, ensuring clear communication and appropriate follow-up.
Utilizing HR systems (e.g., Workday) to enter and update HR information, monitor deadlines, and support the accuracy of HR transactions.
Providing administrative support in HR processes such as contract actions, onboarding, and deployment support.
Liaising with internal units to follow up on pending HR actions to ensure timely service delivery.
Performing any other duties as required to support the HR function effectively.
Required Qualifications: Candidates must possess a completion of secondary school education, with a university degree in Human Resources or a relevant field being desirable. Additionally, at least five years of relevant experience in human resources or administrative support is required. Experience in recruitment or talent acquisition is considered an advantage, as is experience working with data, spreadsheets, or dashboards. Candidates should have relevant experience in various HR areas such as payroll, learning and development, HR data analysis, and benefits administration. The ability to maintain confidentiality and handle sensitive information with discretion is essential, along with good analytical skills and proficiency in Microsoft Excel. Familiarity with data visualization tools like Power BI or Tableau is a plus. Strong communication and organizational skills are necessary, as well as the ability to manage competing priorities effectively.
Educational Background: The educational background required for this position includes the completion of secondary school education as a minimum. A university degree in Human Resources or other relevant fields is highly desirable, as it provides a foundational understanding of HR principles and practices that are essential for the role.
Experience: The position requires at least five years of relevant experience in human resources or administrative support. This experience should ideally include exposure to recruitment processes and talent acquisition, as well as familiarity with data management and reporting. Candidates with experience in a multicultural environment and those who have delivered client-focused HR services will be preferred, as these experiences align with WFP's operational context and values.
Languages: Fluency in written and spoken English and Arabic is mandatory for this position. Proficiency in both languages is crucial for effective communication within the diverse environment of WFP and for interacting with various stakeholders in the humanitarian sector.

The duty station is located in Damascus, Syria, and the duration of the contract is 12 months.
