Job Overview: The ICLA Project Support Officer plays a crucial role in the implementation of the Information, Counselling, and Legal Assistance (ICLA) project in Northern Ukraine. This position is primarily focused on providing administrative and logistical support to the ICLA team, ensuring that project activities are executed efficiently and effectively. The officer will be responsible for maintaining project documentation, conducting data analysis, and supporting the preparation of training and information sessions. The role requires a proactive approach to problem-solving and a commitment to adhering to NRC's policies and guidelines. The officer will also be expected to develop a strong understanding of the ICLA portfolio and contribute to the overall success of the project by supporting the team in various capacities.
Duties and Responsibilities: The ICLA Project Support Officer will have a diverse set of responsibilities, including:
Monitoring and Evaluation (30%): - Support the ICLA team with electronic filing and archiving of project documentation, ensuring that all documents are scanned, archived, and stored correctly. - Conduct basic data analysis in accordance with guidelines and best practices, providing insights as needed. - Maintain and regularly update the ICLA databases, ensuring quality control. - Assist in piloting and implementing surveys and assessments, collaborating with field teams on data entry. - Perform any other tasks relevant to the position as requested by the line manager.
Administrative Support (40%): - Prepare logistical needs for daily activities, including printing documents and coordinating transportation. - Assist in training preparation by contacting participants, preparing participant lists, and managing logistics for training sessions. - Support information session preparation by managing refreshment stocks and ensuring that necessary materials are available for field teams. - Handle any other administrative tasks as requested by the line manager.
Support Activities (30%): - Contact clients and arrange appointments in coordination with ICLA colleagues. - Manage bookings for meetings and ensure that catering and related services are organized. - Oversee the purchasing, distribution, and recording of stationery. - Perform any other relevant tasks as requested by the line manager.
Required Qualifications: The ideal candidate for the ICLA Project Support Officer position should possess the following qualifications: - Proven experience working in administration or a similar role. - Documented results related to the responsibilities of the position. - A good understanding of the context in Ukraine, particularly regarding the needs of displaced populations. - Knowledge of software programs such as MS Word, Excel, and PowerPoint. - Strong organizational skills and the ability to manage multiple tasks effectively. - High integrity and confidentiality in handling sensitive information.
Educational Background: Candidates should have a relevant educational background, ideally in administration, social sciences, or a related field. A degree or diploma in a relevant area will be considered an asset, as it demonstrates a foundational understanding of the principles and practices necessary for effective project support.
Experience: The position requires candidates to have experience working as an administrator or receptionist, preferably in a non-profit legal service provider, law firm, or similar entity providing legal counseling and assistance. Experience in a multi-cultural environment and the ability to work independently in a result-oriented manner are essential. Candidates should also have demonstrated skills in negotiation and conflict resolution, as well as stress and time management.
Languages: Fluency in Ukrainian is essential for this position, as it is necessary for effective communication with clients and stakeholders. Proficiency in English is considered an advantage, as it may facilitate communication with international team members and stakeholders.
Additional Notes: This position is based in Shostka, Sumy oblast, Ukraine, and is expected to be a full-time role.
