Job Overview: The STRIDES Program Administrative Assistant plays a crucial role in supporting the technical team in project management and implementation activities. This position involves coordinating with various teams within FHI 360, including Program, Finance, Procurement, and Technical teams, to ensure smooth operations and effective project implementation. The Administrative Assistant will handle a variety of administrative tasks, such as organizing events, managing travel logistics, and preparing financial reports. The role requires a proactive approach to ensure that all office functions, including procurement procedures and financial transactions, are executed efficiently and punctually. Duties and Responsibilities: The Administrative Assistant will be responsible for a wide range of duties, including but not limited to: providing administrative support to the technical and program staff, which encompasses tasks such as word processing, filing, scheduling, and confirming appointments. The role requires the development and maintenance of a comprehensive electronic and paper filing system to ensure easy access to project documents. The Assistant will liaise with the Operations Team, particularly the Procurement and Finance teams, to facilitate project implementation activities and ensure compliance with Standard Operating Procedures (SOP). Additionally, the Assistant will assist in planning, logistics, and management of meetings, workshops, and training sessions, including taking and disseminating minutes. The role also involves maintaining and distributing project materials, assisting technical team members with routine and ad hoc project reports, coordinating travel authorizations, and monitoring consultant usage to ensure compliance with local regulations. Other duties may be assigned as needed.
Required Qualifications: Candidates should possess a Bachelor’s degree in business studies, public health, or a related field. A minimum of one year of relevant experience in an administrative role is preferred, particularly with prior exposure to US Government programs. Proficiency in office software such as Word, Excel, and PowerPoint is essential. The ideal candidate must be well-organized, a self-starter with a keen attention to detail, and possess excellent communication skills. A good command of both written and spoken Bahasa Indonesian is mandatory, while proficiency in English is desirable. Candidates should demonstrate sensitivity to cultural differences and an understanding of the political and ethical issues surrounding public health in Indonesia.
Educational Background: The position requires a Bachelor’s degree in business studies, public health, or a related field.
