Job Overview: The Officer, Program Visits and Events will play a crucial role in designing, organizing, and executing both in-person and virtual program visits for private donors and prospects. This position is integral to showcasing the impact of donor support and contributing to the IRC's fundraising objectives. The Officer will work closely with IRC country programs across various regions, including Europe, Africa, the Middle East, Latin America, and Asia, as well as domestic programs in the United States. Reporting to the Associate Director of Strategic Marketing, the Officer will collaborate with colleagues from the Philanthropy and Marketing and Mobilization teams to conceptualize and deliver engagement activities that align with ambitious fundraising goals and elevate the IRC's profile. The ideal candidate will possess experience in event planning, project management, and marketing material development, with a preference for those who have worked with global teams and have experience in donor engagement and international travel.
Duties and Responsibilities: The Officer will lead a global portfolio of virtual and in-person program visits for IRC’s private donors and partners. Responsibilities include aligning visit goals with fundraising priorities and organizational strategy, collaborating with program teams to secure approvals, setting dates and destinations, and producing targeted itineraries and budgets. The Officer will track visit workflows using Monday.com and manage visit-related marketing and giving data in Salesforce. Additionally, the Officer will support fundraisers and partners with end-to-end travel logistics, including flight and hotel recommendations, visa process guidance, safety and security" style="border-bottom: 1px dotted #007bff !important;">security coordination, sourcing interpretation and translation vendors, and managing trip budgets. The Officer will also develop coordinating trip materials such as invitations, donor briefings, post-trip reports, marketing materials, project management assets, trip budgets, expense reports, and invoices. Furthermore, the Officer will design and execute intimate, high-impact events that resonate with donors and align with key organizational moments or larger public events, overseeing the full lifecycle of event planning and execution, managing logistics across various platforms and formats, and coordinating with vendors, venues, and internal teams to ensure seamless delivery and alignment with strategic goals.
Required Qualifications: Candidates must possess a Bachelor’s degree or equivalent and have at least 5 years of event planning experience, demonstrating the ability to organize events through all phases of development. The ideal candidate will have outstanding Microsoft Office skills and experience with event database management (Salesforce and/or Cvent experience preferred). Proven project and event management skills, both in-person and virtual, are essential, along with the ability to balance multiple time-sensitive tasks and prioritize effectively. Candidates should exhibit meticulous attention to detail, persistence, patience, and resourcefulness in managing tasks and projects. Excellent interpersonal skills are required for effective communication and collaboration with donors, clients, colleagues, vendors, and consultants. Strong written and verbal communication skills are necessary, as well as resilience in high-pressure situations. The ability to think critically and problem-solve quickly is essential, along with a dedication to respecting and maintaining confidentiality of information and a passion for the IRC’s mission.
Educational Background: A Bachelor’s degree or equivalent is required for this position. The educational background should ideally be in a field related to event management, marketing, communications, or a similar discipline that supports the skills needed for effective program visits and event planning.
Experience: Candidates should have a minimum of 5 years of experience in event planning, demonstrating a proven ability to organize and execute events through all phases of development. Experience working with global teams and managing cross-departmental initiatives is preferred, as is experience in donor-facing engagement and international travel.
Languages: While proficiency in English is mandatory, additional language skills are preferred and would be considered an asset, particularly languages relevant to the regions where IRC operates. This could enhance communication with diverse donor bases and stakeholders.
Additional Notes: This position requires remote or flexible work arrangements. The compensation for this role ranges from $80,000 to $90,000, depending on various factors such as the labor market, job type, internal equity, and budget considerations. The exact offer will be calibrated based on the work location and the individual candidate's experience and skills relative to the defined job requirements.
