Job Overview: The position of Assistant(e) du Programme is crucial for providing comprehensive support for the planning, implementation, and monitoring of activities within the SC program in the Maghreb region. The role involves working under the authority of the Director of the Rabat office and under the supervision of the program specialist in exact and natural sciences. The assistant will be responsible for supporting various programs, including the Intergovernmental Hydrological Program, the Man and the Biosphere Program, the International Geoscience and Geoparks Program, and initiatives related to natural hazards. This position requires a proactive approach to organizing workshops, meetings, and events, ensuring logistical support, and facilitating communication among participants and partners. The assistant will also contribute to the preparation of documentation, reports, and correspondence related to the program's activities, thereby playing a vital role in the overall success of the SC initiatives in the region.
Duties and Responsibilities: The duties and responsibilities of the Assistant(e) du Programme include:
Contributing to the organization of workshops, meetings, and official events, ensuring necessary logistical support in collaboration with administrative assistants. This includes managing participant arrangements such as booking funds, purchasing tickets, and handling per diem payments.
Assisting in the dissemination of documentation and drafting reports, information, and documentation related to program activities.
Contributing to the writing of letters, newsletters, articles, and reports on various SC sector activities, as well as updating the website and other publications associated with the program.
Preparing various types of contracts and reports, tracking correspondence and contacts with national partners, experts, and consultants.
Ensuring engagement, payment, and closure of contracts in the system, verifying the completeness of supporting documents at each stage.
Collaborating with the SC team to develop a functional documentation and archiving system, centralizing data and tracking activities to facilitate the production of publications, correspondence, work plans, and reports.
Supporting data collection and information gathering to meet the requirements of all Science program activities.
Preparing and organizing travel for the SC team.
Performing any other tasks as requested by the program specialist.
Required Qualifications: Candidates must be Moroccan nationals or residents in Morocco with the authorization to work in the country. They should possess a university degree and/or professional qualification at the level of BAC + 3 in a field related to exact and natural sciences and/or in management and administration. Additionally, candidates should demonstrate strong skills in project assistance, particularly in planning, execution, monitoring, and reporting. Knowledge of budget and financial management is also essential, along with the ability to work effectively in a multicultural environment and establish harmonious working relationships both within and outside the organization. The candidate must be capable of working under pressure and meeting deadlines, with practical knowledge of English being a significant advantage.
Educational Background: The educational background required for this position includes a university degree or professional qualification equivalent to BAC + 3 in a relevant field such as exact and natural sciences or management and administration. This educational foundation is essential for understanding the scientific and administrative aspects of the role, enabling the candidate to effectively support the various programs and initiatives undertaken by the SC sector.
Experience: Candidates should have at least one year of relevant professional experience in program or project assistance. Experience within a United Nations agency is considered an asset, as it provides familiarity with the operational and procedural frameworks of international organizations. This experience should demonstrate the candidate's ability to contribute effectively to program implementation and support activities in a dynamic and collaborative environment.
Languages: The mandatory languages for this position include proficiency in French and Arabic, with a demonstrated ability to communicate and write clearly and concisely in both languages. Knowledge of English is also beneficial, as it enhances the candidate's ability to engage with international partners and access a broader range of scientific literature and resources.
Additional Notes: The contract duration is 11 months, with the possibility of renewal subject to satisfactory performance and availability of funds. The selected candidate will undergo a probationary period of three months. The position is classified at the SC2 level, and the monthly gross salary is set at 12,000 dirhams. It is important to note that this remuneration is subject to income tax, and the contractor is responsible for complying with applicable tax legislation. Additionally, the candidate will be required to contribute 15% towards pension and medical coverage.
