Job Overview:
The Finance Assistant plays a crucial role in supporting the finance team by managing and updating financial spreadsheets with daily transactions. This position is integral to ensuring the smooth operation of financial processes within the organization. The Finance Assistant will be responsible for processing Purchase Orders (POs), managing vendor invoices, and ensuring timely payments. The role requires a keen attention to detail and a commitment to maintaining accurate financial records. The Finance Assistant will also provide technical financial support to field staff and assist in implementing financial policies and procedures. This position is essential for maintaining the financial integrity of the organization and ensuring compliance with established financial protocols.

Duties and Responsibilities:
The Finance Assistant will have a comprehensive set of responsibilities, including but not limited to: processing all Purchase Orders (POs) from DDX, creating vendor invoices, and managing vendor payment journals. The assistant will scan and upload all financial documents related to Purchase Orders into the ERP system and follow up daily on pending vendor invoices to ensure timely payment. Monthly payments for vehicle rentals and security" style="border-bottom: 1px dotted #007bff !important;">security guard services for the South Area will also be processed by the assistant. Additionally, the Finance Assistant will review and process Purchase Orders related to cash distributions and quarterly rent payments for DRC buildings. Accurate and timely entry of all expenses into the DRC accounting system is a critical duty, along with checking invoices, verifying activities and account coding, and preparing payment vouchers. The assistant will implement and manage daily accounting operations in compliance with approved financial procedures, ensuring that all supporting documents are properly prepared and submitted according to established policies. The role also involves verifying that all purchases have appropriate authorization and required signatures, providing technical financial support and guidance to field staff, and assisting with accruals during grant closures and end of financial periods. The Finance Assistant will verify and process hospital program payments in line with updated SOPs and Financial Review Matrix, monitor and track bank liquidity, and participate in tendering and RFQ processes. Focal point tasks include following up on hospital program pending advances and supporting the Supply Chain in tracking closed grants and ensuring proper allocation. The assistant will ensure all cash expenditures are accurately booked through DRC Dynamics and provide guidance and access support to team members for effective ERP use, applying ERP reports and data analytics to improve financial performance and operational efficiency.

Required Qualifications:
Candidates must possess a minimum of 1 year of relevant professional experience in finance and accounting. Experience in performing administrative and operational support tasks is essential. Strong written and verbal communication skills are required, along with advanced proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint. Well-developed organizational and planning skills are necessary, with the ability to prioritize tasks and meet deadlines effectively. The ideal candidate will demonstrate a commitment to the values and mission of the Danish Refugee Council.

Educational Background:
A Bachelor’s degree in accountancy is required for this position. This educational background provides the foundational knowledge necessary for understanding financial principles and practices, which are critical for the role of Finance Assistant.

Experience:
The position requires a minimum of 1 year of relevant professional experience in finance and accounting. This experience should include performing administrative and operational support tasks, which are vital for the effective execution of the responsibilities associated with this role.

Languages:
Fluency in Arabic is mandatory, while proficiency in English is considered good to have. The ability to communicate effectively in both languages is essential for interacting with diverse stakeholders and ensuring clear communication within the organization.

Additional Notes:
The contract length for this position is set until December 31, 2026, and it falls within the non-management (I) band. The Finance Assistant will report to the Finance Team Leader and is expected to start as soon as possible. The duty station for this role is Al-Turbah, Yemen. Salary and conditions will be in accordance with the Danish Refugee Council’s National Terms of Employment.
