Job Overview: The Finance and Administration Assistant position is integral to the operations of the Bangladesh Resident Mission (BRM) within the South Asia Department (SARD) of ADB. The role is based in Dhaka, Bangladesh, and involves reporting to designated international staff and officers. The primary function of this position is to assist in various administrative and financial tasks that support the mission's operations. This includes general office administration, logistics, facilities management, and financial reporting. The assistant will play a crucial role in maintaining effective communication with host government agencies, facilitating visa processing for staff, managing filing systems, supporting the finance team in budget preparation, and ensuring compliance with financial regulations. Duties and Responsibilities: The Finance and Administration Assistant will be responsible for a wide range of duties, including but not limited to: maintaining liaison with host government agencies to facilitate tax exemption requests, visa processing, and customs documentation for international staff; managing general office and personnel administration; organizing and maintaining filing systems related to finance and administrative matters; supporting the finance team in preparing yearly administrative expenses; assisting in quarterly procurement planning and maintaining Economic Order Quantity (EOQ) for consumables; reviewing service contractors' invoices for accuracy and compliance; maintaining fixed assets and inventory records; assisting in procurement and contract administration; providing travel and logistics support, including air ticket bookings and visa follow-ups; coordinating security" style="border-bottom: 1px dotted #007bff !important;">security and facilities-related administrative matters; and monitoring the operation and maintenance of office vehicles. The assistant will also perform any other responsibilities as outlined in their work plan, ensuring that all tasks are completed efficiently and effectively.
Required Qualifications: Candidates for the Finance and Administration Assistant position must possess a Bachelor's degree in business administration, accounting, or a related field, along with equivalent professional and/or academic qualifications. A minimum of 5 years of relevant professional experience is required, demonstrating a solid numerical ability and proficiency in technology packages, including word processing, spreadsheets, graphics, PowerPoint, and web browsing. Knowledge of relevant procedures, guidelines, and standards is essential, as well as excellent written and verbal communication skills in English. Familiarity with ADB's Competency Framework for TL1 positions is also necessary for applicants.

The renewal of the appointment will depend on various factors, including the organizational needs, funding availability, and the staff member's performance. The position is not convertible to a regular appointment, and there is no limit to the number of renewals up to NRD.
