Job Overview:
The Team Assistant position is crucial for the efficient operation of the office within the Department of Nuclear Safety and Security (NS) at the IAEA. The role involves providing administrative support to a group of professionals, ensuring that the office runs smoothly and effectively. The Team Assistant will be responsible for managing correspondence, records, and logistics for meetings and events, as well as performing various administrative activities. This position requires a proactive approach to problem-solving and the ability to work collaboratively with team members to achieve departmental goals. The Team Assistant will also play a key role in maintaining the confidentiality of sensitive information and supporting the overall mission of the IAEA in enhancing nuclear safety and security.

Duties and Responsibilities:
The Team Assistant will handle a variety of tasks, including but not limited to: drafting standard correspondence in accordance with corporate communication guidelines, formatting letters, reports, and other documents, and managing the work unit's records office. This includes maintaining file lists, liaising with the Archives and Records Management Section, and ensuring compliance with records management standards. The Team Assistant will also arrange internal and external meetings, prepare travel arrangements, and manage logistics for seminars and events. Additionally, the role involves inputting and retrieving information from databases, tracking financial budgets, and distributing work among support staff. The Team Assistant will be expected to provide backup support to staff in executive offices and assist with routine problems as they arise.

Required Qualifications:
Candidates must have completed secondary education and possess a minimum of four years of general office support experience, ideally in an international environment. Proficiency in MS Office applications (Word, Excel, Outlook, PowerPoint) is essential, along with the ability to draft routine correspondence and provide training to newly recruited office support staff. Excellent oral and written command of English is required, and knowledge of other official IAEA languages such as Arabic, Chinese, French, Russian, and Spanish is considered an asset. An administrative skills test to IAEA standards may be part of the selection process.

Educational Background:
