Job Overview:
The Administrative/Finance Assistant position at UN Women in Dnipro is crucial for ensuring the smooth operation of the office's administrative and financial processes. The role involves providing comprehensive support to the Dnipro sub-office, which includes managing travel arrangements, processing financial transactions, and maintaining accurate records. The Assistant will work closely with the Head of the Dnipro sub-office and the Operations Manager to ensure compliance with UN Women’s financial rules and regulations. This position is vital for promoting a client-oriented approach and ensuring that financial resources are utilized efficiently and transparently. The Assistant will also play a key role in coordinating asset management and procurement processes, thereby contributing to the overall effectiveness of UN Women’s mission in Ukraine.

Duties and Responsibilities:
The Administrative/Finance Assistant will be responsible for a wide range of duties, including:
  • Providing general administration and operations support, such as arranging travel and hotel reservations, processing travel claims, and organizing meetings and events.
  • Coordinating asset management and procurement processes, including monitoring office supplies, maintaining inventory records, and assisting in procurement activities.
  • Offering general finance support, which involves processing financial transactions, maintaining financial records, and assisting in bank reconciliations.
  • Supporting personnel administration for staff, including managing contracts and benefits.
  • Ensuring compliance with security" style="border-bottom: 1px dotted #007bff !important;">security requirements and maintaining filing systems for confidential materials.
  • Entering and tracking administrative transactions in the Quantum ERP system to ensure accuracy and compliance with UN Women procedures.

Required Qualifications:
Candidates for the Administrative/Finance Assistant position should possess strong organizational and communication skills, with a demonstrated ability to work effectively in a team environment. Proficiency in financial management and administrative processes is essential, along with a solid understanding of UN Women’s policies and procedures. The ideal candidate should also exhibit a commitment to gender equality and the empowerment of women, aligning with UN Women’s mission and values. Educational Background:
A minimum of a bachelor’s degree in finance, business administration, or a related field is required for the Administrative/Finance Assistant position. Experience:
Candidates should have at least 2 years of relevant experience in administrative and financial support roles, preferably within an international organization or a non-governmental organization (NGO). Experience in managing procurement processes and financial transactions is highly desirable, as is familiarity with UN Women’s operational procedures and guidelines.

Languages:
Fluency in English and Ukrainian is mandatory for this position. Knowledge of additional languages, particularly Russian, would be considered an asset and enhance communication with diverse stakeholders.

Additional Notes:
This is a national UN Volunteer position based in Dnipro, Ukraine, with a full-time contract duration that may be extended based on funding availability and performance. The monthly Volunteer Living Allowance (VLA) is USD 1690, which is intended to cover housing and living expenses. Additional benefits include a one-time entry lump sum payment of USD 350, medical and life insurance coverage, and various leave entitlements, including annual leave, learning leave, and sick leave. The role requires the volunteer to arrange their own accommodation.
