Job Overview:
The Asset and Lease Management Analyst plays a crucial role in supporting the Facilities and Administrative Specialist by managing the UN Women Global Lease Database and overseeing the custody of office assets, primarily ICT equipment and furniture. This position involves coordinating the review and signature process for all UN Women premises agreements, including commercial leases and MOUs with other UN agencies or governments. The analyst will also assist in physical verification exercises of assets, reporting, and providing backup support. The role requires a proactive approach to lease management, ensuring compliance with UN Women policies and best practices, and involves significant interaction with various stakeholders across the organization.

Duties and Responsibilities:
  • Lease Management and Compliance Oversight: Provide technical support to HQ and regional offices on the Lease Management System (LMS), troubleshoot issues, guide users, and coordinate with IT for system updates. Review and refine global lease management processes to align with best practices. Maintain the global premises agreements database, ensuring accurate tracking of contractual terms and key dates. Monitor lease expiration dates and engage with field offices for timely renewals. Coordinate the annual HQ lease certification process and review global lease agreements for accuracy. Support negotiations for sublease agreements for surplus HQ office space.
  • Asset Management and Physical Verification: Assist in planning and executing the Global Fixed Assets Annual Physical Verification exercise, ensuring compliance with asset management policies. Provide backup support to the HQ Asset Management Associate/Specialist and contribute to updating asset management policies.
  • Strategic Facilities and Common Premises Coordination: Deliver data analysis to support global coordination on UN Common Premises initiatives and identify consolidation opportunities with other UN agencies.
  • Audit Support, Risk Management, and Policy Implementation: Assist in preparing responses to audit queries and support the implementation of audit recommendations.
  • Advisory Services and Organizational Support: Provide guidance to Regional and Country Operations Managers on lease management and assist in drafting business cases for UN Women’s participation in UN FLEET.

Required Qualifications:
Candidates must possess a Master’s degree or equivalent in finance, international economy, business administration, legal studies, or a related field. Alternatively, a first-level university degree combined with two additional years of qualifying experience may be accepted in lieu of an advanced degree. Candidates should have strong analytical skills, attention to detail, and the ability to work collaboratively in a diverse environment.

Educational Background:
A Master’s degree in finance, international economy, business administration, legal studies, or a related field is required. A first-level university degree may be accepted with additional qualifying experience.

Experience:
At least two years of progressively responsible work experience in the UN Common system, particularly in operations, lease management, asset management, or facilities administration is required. Experience in paralegal work and real estate is desirable, as is experience with international organizations. Proficiency in using office software and ERP systems is also required.

Languages:
Fluency in English is mandatory. Knowledge of another UN language such as French, Arabic, Chinese, Russian, or Spanish is desirable.
