Job Overview: The Senior Administrative Associate will perform a variety of administrative and office support duties specifically for the Strengthening Infections Disease Detection Systems (STRIDES) Activity in Thailand and Southeast Asia. This role requires a comprehensive understanding of organizational and departmental policies and procedures to effectively communicate information related to programs, functions, and services. The position entails preparing documents and reports, utilizing office technology, maintaining records, organizing files, and providing assistance to staff and external contacts. The Senior Administrative Associate will also be responsible for data collection and verification, summarizing information, and managing inventory, among other tasks. This role may involve serving as the primary staff assistant to a department or manager and may include supervisory responsibilities over other employees at an advanced level.
Duties and Responsibilities: The duties and responsibilities of the Senior Administrative Associate include performing advanced-level administrative tasks in support of the STRIDES Activity, serving as the primary point of contact for internal and external communications, reviewing data for accuracy, coordinating team meetings, ensuring timely communication, and assisting with administrative support requests. The role involves setting up and maintaining files, preparing reports and presentations, managing incoming and outgoing mail, and maintaining documentation for various functions. The Associate will also schedule and organize complex activities such as meetings and travel, act as a liaison with other departments, handle confidential information, and assist with financial management and project coordination. Additionally, the position requires the development of improved administrative procedures and the maintenance of various databases and spreadsheets as directed by management.
Required Qualifications: Candidates must possess a strong understanding of program procedures, methods, and practices, with the ability to communicate effectively with staff and clients. Proficiency in office software programs and information systems is essential, along with a keen attention to detail in reviewing data and information. The role requires problem-solving skills to address issues that may arise and the ability to work independently or as part of a team on special projects. Familiarity with departmental guidelines and the ability to enforce organizational policies are also critical for success in this position.
Educational Background: A Bachelor’s Degree in Business Administration or a related field is required for this position. This educational background provides the foundational knowledge necessary for effective administrative support and understanding of organizational operations.
Experience: Typically, candidates should have a minimum of 5+ years of relevant experience in administrative roles. Experience in monitoring expenditures to meet organizational objectives and compliance is preferred, along with a background in a science or health-related field, which would be beneficial for understanding the context of the STRIDES Activity.
Languages: Fluency in Thai is mandatory for this position, given that it is open to Thai nationals. Proficiency in English is also advantageous, as it may be necessary for communication with international stakeholders and documentation.
Additional Notes: This position is full-time and is specifically open to Thai nationals. The role may involve limited supervision, with the Associate expected to coordinate workload with other support staff.
