Job Overview:
The Team Assistant position is integral to the efficient operation of the Incident and Emergency Centre (IEC) within the Department of Nuclear Safety and Security at the IAEA. The role involves providing administrative support to a team of professionals, ensuring that the office runs smoothly and effectively. The Team Assistant will be responsible for managing correspondence, records, and logistics for meetings and events, as well as handling travel arrangements and budget tracking. This position requires a proactive approach to problem-solving and the ability to work collaboratively with various stakeholders. The Team Assistant will also be expected to maintain high standards of communication and organization, contributing to the overall success of the IEC's mission to enhance preparedness for nuclear and radiological incidents.

Duties and Responsibilities:
The Team Assistant will perform a variety of duties including: drafting standard correspondence and formatting documents according to corporate guidelines; managing office records and files, ensuring compliance with corporate standards; organizing internal and external meetings, including logistics and documentation; taking minutes and preparing notes for meetings; making travel arrangements and preparing travel authorizations; inputting and retrieving information from databases; assisting in budget preparation and tracking expenditures; distributing work among support staff and providing guidance on administrative practices; and offering backup support to executive staff as needed. The role requires attention to detail, strong organizational skills, and the ability to manage multiple tasks simultaneously.

Required Qualifications:
Candidates must have completed secondary education and possess a minimum of four years of general office support experience, preferably in an international environment. Proficiency in MS Office applications (Word, Excel, Outlook, PowerPoint) is essential, along with the ability to draft routine correspondence and provide training to new staff. Excellent oral and written command of English is mandatory, and knowledge of other official IAEA languages such as Arabic, Chinese, French, Russian, or Spanish is considered an asset. An administrative skills test may be part of the selection process.

Educational Background:
The educational requirement for this position is a completed secondary education. Additional qualifications or certifications in office administration or related fields may be beneficial but are not explicitly required.

Experience:
The ideal candidate should have at least four years of general office support experience. Experience in an international setting is highly desirable, as it demonstrates the ability to navigate diverse work environments and cultural contexts. Familiarity with administrative processes and procedures within international organizations will be advantageous.

Languages:
A strong command of English is mandatory for this position. Knowledge of other official IAEA languages (Arabic, Chinese, French, Russian, and Spanish) is considered a valuable asset, enhancing communication capabilities within the organization and with member states.

Additional Notes:
The IAEA offers an attractive remuneration package, including a tax-free annual net base salary starting at EUR 51,384, subject to mandatory deductions for pension contributions and health insurance. Employees are entitled to six weeks of annual vacation, a pension plan, and health insurance.
