Job Overview:
The coordinator" style="border-bottom: 1px dotted #007bff !important;">Administrative Coordinator position within the African Department's Western II Division is crucial for ensuring the smooth operation of administrative and organizational tasks. This role involves supporting the division's staff under the guidance of the Division Chief and Deputy Division Chiefs, as well as collaborating closely with the Lead Admin Coordinator. The Western II Division focuses on countries such as Cabo Verde, Cote d’Ivoire, Guinea, Liberia, and Sierra Leone, and the Administrative Coordinator will play a key role in managing documentation, organizing meetings and events, and providing logistical support. The position requires a proactive approach to managing workflows, ensuring that deadlines are met, and contributing to department-wide initiatives as needed. The selected candidate will be expected to demonstrate strong administrative skills, technical proficiency, and the ability to work effectively in a team-oriented environment.

Duties and Responsibilities:
The Administrative Coordinator will be responsible for a variety of tasks, including but not limited to:
  • Document Management: Preparing country-related documents, briefs, and memos with precision, ensuring adherence to IMF style and formatting guidelines. Transmitting documents for review by Departments, Management, and the Board.
  • Meeting and Events: Organizing meetings, seminars, workshops, and conferences, which includes planning, material production, scheduling, logistical arrangements, and liaising with participants and speakers.
  • Social Gatherings: Initiating social gatherings within the division to foster team building and cohesion among staff members.
  • Logistical Support: Managing travel arrangements for division members and handling expense reports.
  • Workflow Management: Overseeing the AFR’s Review Box, disseminating action items, tracking responses, and following up on deadlines.
  • Administrative Processes: Assisting with administrative processes within the division and backstopping for other Administrative Coordinators as needed.
  • Monitoring Work Agenda: Keeping track of the busy work agenda, action items, and shifting priorities to ensure deadlines are met.
  • Department-Wide Initiatives: Occasionally contributing to and supporting department-wide initiatives and assisting the Office Manager with any department-wide projects as needed.

Required Qualifications:
Candidates must possess a high school diploma or equivalent, supplemented by a minimum of four years of relevant experience. The ideal candidate should demonstrate strong administrative, technological, and organizational capabilities, with the ability to work accurately under pressure and multitask effectively. Proficiency in Microsoft Word, Excel, Microsoft Teams, and various software applications is essential. Familiarity with PeopleSoft, DARTS, TIMS, DM5, and Fund practices and procedures is also preferred. Strong teamwork and collaboration skills are necessary, along with flexibility in working hours and readiness for overtime as required.

Educational Background:
The position requires educational development typically acquired through the completion of a high school diploma or equivalent. Additional qualifications or certifications in administrative support or related fields may be beneficial but are not explicitly required.

Experience:
A minimum of four years of relevant experience in administrative roles is required. Candidates should have a proven track record of managing administrative tasks effectively, demonstrating strong organizational skills, and the ability to work in a fast-paced environment. Experience in international organizations or similar settings is advantageous.

Languages:
Proficiency in English is mandatory for this position. Additional language skills may be considered an asset but are not required.

Additional Notes:
The selected candidate will maintain their open-ended status if they are a regular staff member. If the selected candidate is a contractual employee, they will be offered a Term staff appointment. Staff members already on a term appointment will continue their current term but may receive an extension provided that their current term appointment has not already been extended. Candidates must have passed the IMF Office Assistant Exam to be considered for this position. Only candidates currently residing in the Washington DC metro area will be considered for this role.
