Job Overview: The UNV Administration Assistant will work under the supervision of the Head of Office of the UNODC Programme Office in Nepal, contributing to the administrative and logistical support necessary for the effective implementation of the Passenger and Cargo Control Programme (PCCP). This role involves ensuring compliance with UN/UNODC rules and regulations while supporting various administrative activities. The assistant will be integral in managing finance, organizing technical assistance activities, and facilitating travel arrangements, among other responsibilities. The position requires a proactive approach to support the PCCP's objectives, which include capacity building for law enforcement agencies across South Asia. The assistant will also engage in community volunteerism, promoting the UN Volunteers programme and contributing to local initiatives.
Duties and Responsibilities: The duties and responsibilities of the UNV Administration Assistant include:
Contributing to the implementation of PCCP activities, ensuring alignment with the global programme's deliverables.
Managing finance-related tasks such as budget creation, closing open commitments and grants, procurement, and liaising with counterparts.
Supporting the organization of training workshops, outreach events, and other technical assistance activities under the PCCP.
Handling logistics for shipments, including customs clearance and documentation for UNODC shipments.
Arranging travel and hotel reservations, processing visa requests, and preparing travel authorizations.
Providing administrative support for conferences and workshops, including collecting information for DSA and other administrative surveys.
Following up on deadlines and commitments, coordinating report submissions to the Head of the UNODC Programme Office Nepal.
Assisting in audit preparations and maintaining records related to travel and protocol services.
Ensuring timely financial transactions related to administrative services. 1
Performing additional activities as required, including promoting volunteerism and engaging with local communities.
Required Qualifications: Candidates must demonstrate professionalism and a strong understanding of UNODC operations. They should possess technical capabilities relevant to UNODC procedures and rules, along with discretion and political sensitivity. The ability to liaise with various stakeholders, particularly in senior positions, is essential. Candidates should exhibit resourcefulness, autonomy, and the capacity to manage information confidentially. Additional Notes: This is a national UN Volunteer assignment, and the selected candidate will be responsible for arranging their own housing and living essentials. The position is based in Kathmandu, which is classified under Phase 2 of the UN Security classification. Living conditions in Kathmandu are generally good, with access to comfortable accommodations and a variety of food options. However, candidates should be aware of the challenges related to water supply and traffic congestion. The UN Volunteer will be part of a malicious insurance plan, ensuring coverage during their assignment.
