Job Overview:
The Information Management Assistant will work under the direct supervision of the National Project Officer in Boa Vista, Brazil, and will closely coordinate with the Information Management Unit and the Programme Support Unit at IOM Brazil’s head office. The successful candidate will be responsible for providing general support to colleagues in various project-related activities, particularly focusing on data collection, management, and analysis. This role is crucial for ensuring that accurate and reliable data is collected and managed effectively to support emergency response operations and other projects in the Northern region of Brazil. The assistant will also contribute to the development of methodologies and tools for data collection and analysis, ensuring that the information management processes align with IOM’s policies and standards.

Duties and Responsibilities:
  • Support the Information Management (IM) team in supervising data collection processes and overall data management activities, including entry, encoding, and storage.
  • Assist in developing methodologies and tools for data collection and analysis that enhance the program's information management.
  • Implement integrated mechanisms for data gathering and information management across all emergency response activities and other projects in the Northern region, ensuring timely and accurate data submission to Brasília.
  • Identify data gaps relevant to the emergency response operation and contribute to project proposals addressing these needs.
  • Collect, manage, and review relevant data, ensuring accuracy and timeliness in line with IOM’s standards.
  • Provide user support on information management tools, templates, and SOPs to improve local data collection and reporting capacities.
  • Support the preparation of IOM Displacement Tracking Matrix (DTM) reports and site profiles in coordination with stakeholders.
  • Assist in periodic reporting processes, including project reports, SitReps, and meeting minutes.
  • Liaise regularly with Project Coordinators and IM/M&E focal points to exchange knowledge and provide technical assistance. 1
  • Perform any other duties as required.

Required Qualifications:
Candidates must possess a High School diploma with at least four years of relevant work experience, or a University degree in social sciences, business administration, international relations, law, information technology, or a related field from an accredited institution with at least two years of relevant experience. A Master’s degree would be an advantage. Accredited Universities are those listed in the UNESCO World Higher Education Database.

Educational Background:
The educational background required for this position includes a High School diploma or a University degree in relevant fields such as social sciences, business administration, international relations, law, or information technology. Candidates with a Master’s degree will have an advantage in the selection process. The educational qualifications must be from accredited institutions recognized by the UNESCO World Higher Education Database.

Experience:
A minimum of two years of relevant professional experience is required for this position. Candidates should have previous experience with research, monitoring, data collection, and reporting activities. Additional experience in information management, monitoring and evaluation, and project management will be considered advantageous. Previous working experience in international or national development organizations or NGOs is also beneficial. Candidates should demonstrate strong problem-solving and analytical skills, along with excellent interpersonal skills and the ability to work effectively as part of a team.

Languages:
Fluency in Portuguese is mandatory for this position, while work knowledge of English and/or Spanish is desirable. IOM’s official languages include English, French, and Spanish, and proficiency in these languages will be evaluated during the selection process, which may include written and/or oral assessments.
