Job Overview: The Admin Intern position at IOM involves working under the overall direction of the Chief of Mission and the direct supervision of the Senior Program Associate/Executive Assistant. The intern will play a crucial role in assisting with the operational activities of the Mission. This includes maintaining and updating filing systems for administrative documents, organizing meetings, workshops, and events, and providing general office support. The intern will also assist in preparing visa applications for incoming international IOM personnel and will be responsible for drafting routine correspondence and collating various documentation. Duties and Responsibilities: The duties and responsibilities of the Admin Intern include:
Assisting in maintaining and updating both electronic and hard copy filing systems for administrative documents, including letters and contact lists.
Organizing and administering meetings, workshops, and events, which involves arranging meeting rooms and other necessary facilities.
Providing general office support, including reception duties when required.
Assisting in the preparation of visa applications for incoming international IOM personnel.
Typing, formatting, and drafting routine correspondence, as well as collating tables, reports, presentations, publications, and other documentation.
Performing other duties as required by the supervisor or the organization. This role is designed to provide the intern with a comprehensive understanding of the administrative functions within IOM and the opportunity to develop essential skills in a professional environment.
Required Qualifications: To be eligible for the Admin Intern position, candidates must meet the following qualifications:
A high school diploma with four years of relevant experience, or a university degree in a related field with two years of relevant professional experience.
Experience in migrant-related programs or visa-related services is highly desirable.
Experience in customer service is also beneficial. Candidates should demonstrate a strong interest in migration issues and a commitment to the values of IOM.
Educational Background: Candidates applying for the Admin Intern position should have a high school diploma or a university degree in a relevant field. The educational background should ideally include studies related to migration, international relations, public administration, or similar disciplines. The internship is aimed at attracting talented students and graduates who have a specific interest in IOM's programs and activities.
Experience: The position requires candidates to have less than two years of relevant working experience. This can include internships, volunteer work, or part-time positions related to administrative support, customer service, or migration-related programs. Languages: Fluency in English is required for this position, as it is the primary language of communication within IOM.
