The Administrative Coordinator will assist in organizing bilateral meetings during the Spring and Annual Meetings, ensuring that all logistical details are handled effectively. Additionally, the coordinator will maintain mailing lists for gifts and holiday cards, and support the Managing Director's participation in various external events and initiatives. Duties and Responsibilities:
The duties and responsibilities of the Administrative Coordinator include:
  • Providing administrative and logistical support to the Managing Director, Chief of Staff, and Advisors.
  • Monitoring and managing incoming requests and communications.
  • Liaising with internal and external stakeholders, including high-level delegations.
  • Managing the Managing Director's calendar, scheduling meetings, and preparing briefs.
  • Circulating the Managing Director's daily agenda to Deputy Managing Directors.
  • Supporting OMD initiatives related to bilateral meetings during Spring and Annual Meetings.
  • Updating and circulating the composite schedule of Management bilateral meetings.
  • Compiling and maintaining mailing lists for gifts and holiday cards.
  • Assisting the Special Assistant to the Managing Director with invitations and participation in external events. 1
  • Serving as a backup to other OMD Assistants as needed.

Required Qualifications:
Candidates must possess a high school diploma or equivalent, supplemented by a minimum of four years of relevant experience. Additionally, candidates should demonstrate strong organizational, administrative, and communication skills, with a keen attention to detail. The ability to work effectively under pressure and manage a complex workload is essential. Candidates should also exhibit strong interpersonal skills and the ability to work collaboratively within a team. Initiative, sound judgment, and discretion in handling confidential matters are critical for this role. Proficiency in standard software applications such as Word, Outlook, Excel, and PowerPoint is preferred, along with a good understanding of the IMF's organizational structure and practices.
