Job Overview:
The Program and Administrative Associate plays a crucial role in ensuring the smooth operation of the office and program activities. This position is responsible for managing reception duties, answering phone calls, and providing essential administrative, logistical, and travel support. The Associate will also manage communications, inventory, and office facilities, while ensuring compliance with FHI 360 policies. The role is vital for the efficient implementation of various projects and events, requiring a proactive approach to problem-solving and multitasking. The Associate will work closely with the Supervisor and Country Representative to facilitate effective program delivery and maintain high standards of operational excellence.

Duties and Responsibilities:
The key responsibilities of the Program and Administrative Associate include managing the reception function by greeting visitors, answering calls, and directing inquiries appropriately. The Associate will oversee office communications, including telephone, fax, and mail, while maintaining logs as per office procedures. They will prepare Procurement Requisitions and Purchase Orders, ensuring adherence to FHI 360 Nepal procurement policy. Additionally, the Associate will process Expense Authorizations for staff and visitors, arrange travel logistics, and maintain travel records in accordance with FHI 360 travel policy. Supporting logistics and administrative arrangements for internal and external meetings, workshops, trainings, and events is also a critical duty. The Associate will maintain and update project and office inventories, prepare duty rosters, coordinate driver and security" style="border-bottom: 1px dotted #007bff !important;">security assignments, and provide ongoing support for office building operations. Accurate record-keeping and reporting related to travel, events, proposals, and project activities are essential, along with performing other administrative, logistics, or project support duties as assigned by the Supervisor and Country Representative.

Required Qualifications:
Candidates must possess a Bachelor's degree in business administration, social sciences, or a relevant field, along with one year of relevant work experience. Alternatively, an Intermediate degree with three to five years of relevant work experience is acceptable. The ideal candidate should have experience in planning, coordination, communication, and collaboration with multiple teams, as well as the ability to manage office operations effectively. Strong attention to detail, excellent interpersonal skills, and proficiency in Microsoft Office tools are also required. The candidate should be proactive, flexible, and capable of managing multiple tasks in a virtual work environment.

Educational Background:
A Bachelor's degree in business administration, social sciences, or a related field is required. Candidates with an Intermediate degree may be considered if they have three to five years of relevant work experience. The educational background should reflect a strong foundation in administrative and program management principles, which are essential for the role.

Experience:
The position requires at least one year of relevant work experience for candidates with a Bachelor's degree, or three to five years for those with an Intermediate degree. Experience in coordinating travel, logistics, and event arrangements is crucial, as well as the ability to work effectively across various teams and build positive relationships with stakeholders, including NGOs, private sectors, and government entities.

Languages:
Fluency in both oral and written English and Nepali is mandatory, as the role involves significant communication and documentation responsibilities. Proficiency in additional languages may be considered an advantage, enhancing the candidate's ability to engage with diverse stakeholders.
