Job Overview: The Administrative Officer position at FHI 360 Nepal is crucial for ensuring the smooth operation of the office by providing comprehensive administrative support. This role encompasses a wide range of responsibilities including travel arrangements, logisticscoordination, procurement processes, and asset management. The Administrative Officer will be responsible for processing travel for staff and visitors, managing vehicle logistics, and ensuring compliance with FHI 360 policies as well as local regulations. The position requires a proactive approach to managing multiple tasks and working effectively in a fast-paced environment, while also supporting the overall mission of FHI 360 in Nepal.
Duties and Responsibilities: The key responsibilities of the Administrative Officer include processing Expense Authorization (EA) for all staff and visitors, arranging hotel reservations, airline ticketing, and vehicle rentals in accordance with FHI 360 travel policy. The officer will manage the organization's vehicles to support project activities and ensure adherence to vehicle policies. Additionally, the role involves preparing and processing Procurement Request forms (PR) and Purchase Orders (PO), ensuring compliance with procurement policies, and managing inventory, including the preparation of annual inventory reports for donors. The officer will also assist in logistics support for workshops, trainings, and conferences, coordinate advertisements, and provide administrative support for office building operations. Other duties may be assigned by the Supervisor and Country Representative as needed.
Required Qualifications: Candidates must possess a Bachelor’s degree in business administration, management, public administration, or a related field, along with a minimum of three years of relevant administrative experience. A Master’s degree is preferred. Applicants should have at least three years of experience in an administrative or office management role, preferably within an I/NGO environment. Strong judgment, interpersonal skills, and the ability to effectively interact with diverse individuals are essential. Knowledge of procurement, travel, logistics, and asset management procedures is required, along with strong attention to detail and the ability to maintain accurate records. Proficiency in Microsoft Office tools is advantageous, and excellent oral and written communication skills in both English and Nepali are mandatory.
Educational Background: The position requires a Bachelor’s degree in business administration, management, public administration, or a related field. A Master’s degree is preferred, indicating a higher level of expertise and understanding of administrative functions and management principles.
Experience: The ideal candidate should have a minimum of three years of experience in administrative and/or office management functions. Experience in an international or non-governmental organization (I/NGO) is highly desirable, as it provides familiarity with the specific challenges and requirements of such environments.
Languages: Fluency in both English and Nepali is mandatory for this position, particularly in oral and written communication. Proficiency in additional languages may be considered an asset but is not required.
