Job Overview: The Associate Director, Admin/Operations and Procurements, plays a crucial role in ensuring the smooth functioning of the FHI 360 Nepal Country Office. This position is responsible for overseeing all aspects of office operations, including management and administration, procurement processes, travel arrangements, inventory management, and consultancy management. The Associate Director will work closely with various departments within FHI 360 Nepal to ensure that operations align with both global and local policies, as well as statutory and regulatory requirements. The role requires a proactive approach to managing multiple tasks and collaborating with cross-functional teams, ensuring that the office operates efficiently and effectively to support the organization's mission.
Duties and Responsibilities: The key responsibilities of the Associate Director include overseeing the implementation of the country office's administrative and office management systems, managing consultant agreements, and ensuring compliance with procurement processes. The role involves overseeing travel arrangements for staff and consultants, managing inventory, and coordinating with program officers and local partners to support field office activities. Additionally, the Associate Director will manage expatriate administration, office lease agreements, and service agreements, ensuring adherence to vehicle policies and timely submission of tax obligations. The position also requires participation in the Senior Leadership Team, contributing to the development of country program strategies, business plans, and budgets, as well as representing FHI 360 in external functions as needed.
Required Qualifications: Candidates must possess a Master’s degree in management, administration, or a related field, along with five to seven years of relevant experience in administration and operations management. Alternatively, a Bachelor’s degree with seven to ten years of experience is acceptable. Prior experience in managing procurements within INGOs, particularly those handling large and complex projects, is essential. The ideal candidate should demonstrate strong interpersonal, organizational, communication, and problem-solving skills, with a proven ability to work in cross-functional teams and manage multiple tasks effectively.
Educational Background: A Master’s degree in management, administration, or a related field is required for this position. Candidates with a Bachelor’s degree may also be considered if they have extensive relevant experience in administration and operations management. Educational qualifications should reflect a strong foundation in management principles and practices, particularly in the context of nonprofit organizations or international development.
Experience: The position requires five to seven years of experience in overseeing administration, operations, or support functions in a professional setting. Candidates with a Bachelor’s degree should have seven to ten years of relevant experience. Experience in administrative and operations management, particularly in international non-governmental organizations (INGOs) managing large and complex projects, is highly desirable. The ability to work in a virtual environment and manage time effectively across different time zones is also important.
Languages: Fluency in both oral and written English and Nepali is mandatory for this position. Candidates should possess strong documentation skills in both languages. Proficiency in additional languages may be considered an asset but is not required.
