Job Overview:
The Project Assistant will play a crucial role in supporting the implementation of project activities under IOM's Humanitarian Assistance and Preparedness pillar. This position involves working closely with the Migration Response Coordinator and the Senior Project Assistant/Project Coordinator to ensure that project objectives are met efficiently and effectively. The successful candidate will be responsible for assisting in the monitoring and evaluation of project activities, compiling and presenting data, and ensuring that all administrative tasks related to project implementation are handled smoothly. The role requires a proactive approach to problem-solving and the ability to communicate effectively with various stakeholders, including governmental authorities and non-governmental organizations. The Project Assistant will also be involved in drafting reports and correspondence, organizing meetings and training sessions, and maintaining accurate records of project activities.

Duties and Responsibilities:
  • Assist in the implementation and monitoring of project activities to ensure alignment with IOM's objectives.
  • Retrieve, compile, summarize, and present information/data on specific project topics to support decision-making processes.
  • Monitor project budgets, verify the availability of funds, and update budget-related information as necessary.
  • Facilitate administrative coordination of project implementation by liaising with various organizational units and external parties to initiate requests and obtain necessary clearances.
  • Draft status reports that identify shortfalls in project delivery and communicate these to the supervisor.
  • Prepare correspondence, reports, briefing notes, graphics, statistical tables, presentations, and other documentation as required.
  • Organize meetings, workshops, and training sessions to enhance project outcomes.
  • Respond to general information requests and inquiries, and maintain organized files and records.
  • Perform other related duties as assigned by the supervisor to support project goals.

Required Qualifications:
Candidates must possess a school diploma with four years of relevant experience, or a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution with two years of relevant professional experience. Accredited Universities are those listed in the UNESCO World Higher Education Database. Additionally, candidates should have experience in liaising with governmental authorities and international organizations, as well as working with vulnerable groups such as migrants and refugees.

Educational Background:
The educational background required for this position includes a school diploma with four years of relevant experience or a Bachelor’s degree in a relevant field such as Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, or Law. The degree must be from an accredited institution recognized by the UNESCO World Higher Education Database, ensuring that the educational qualifications meet international standards.

Experience:
The ideal candidate should have experience in liaising with governmental authorities, national and international institutions, and UN agencies. Experience working with migrants, refugees, internally displaced persons, and victims of trafficking is essential. Prior work experience with international humanitarian organizations or in a multi-cultural setting is considered an advantage, as it demonstrates the candidate's ability to navigate complex environments and collaborate effectively with diverse stakeholders.

Languages:
Fluency in English is mandatory, along with proficiency in one of the local languages in Bosnia and Herzegovina. The official languages of IOM include English, French, and Spanish. Candidates' language proficiency will be evaluated during the selection process, which may include written and/or oral assessments to ensure effective communication in the workplace.

Additional Notes:
This position is subject to local recruitment, meaning only candidates with a valid residence and work permit for Bosnia and Herzegovina will be considered. The appointment will be contingent upon the candidate's medical fitness for the role, verification of residency, visa, and any necessary authorizations from the government.
