Job Overview: The Common Premises Associate plays a crucial role in supporting the management of the UN House in Dili. This position involves ensuring the effective provision and maintenance of common premises, which includes finance and administrative services. The Associate will work closely with the National Common Premises Manager and the UNDP Operations Manager to facilitate a comfortable and safe working environment for all UN agencies. The role requires collaboration with various stakeholders to assess needs, manage resources, and implement projects that enhance the functionality of the common premises. The Associate will also be responsible for maintaining high service standards and ensuring compliance with UNDP policies and regulations.
Duties and Responsibilities:
Support the Common Premises Manager in managing occupancy and usage of common premises, including liaising with UN agencies to assess needs and prepare work plans and budgets.
Manage all common areas within the UN building, ensuring proper maintenance and coordination of services such as security" style="border-bottom: 1px dotted #007bff !important;">security, utilities, and waste management.
Assist in conducting training programs for UN personnel related to common services.
Facilitate knowledge sharing and dissemination of best practices within the organization and regionally.
Perform other duties as required to ensure the efficient functioning of the office and organization.
Required Qualifications: Candidates must possess a minimum of 6 years of experience in administration, logistics, finance, or procurement with secondary education, or 3 years of experience with a bachelor's degree. Experience managing common services within government or international organizations is essential. Desired skills include experience with international and national organizations, payment processing, asset management, and familiarity with UNDP's Quantum and UNall applications. Proficiency in office software and web-based management systems is also required.
Educational Background: A secondary education is required, while a university degree in Business Administration, Public Administration, Finance, Development, or a related field will be considered an advantage. However, it is not mandatory for applicants to hold a degree.
Experience: The position requires a minimum of 6 years of relevant experience with secondary education or 3 years with a bachelor's degree. Candidates should have a strong background in administration, logistics, finance, and procurement, with specific experience in managing common services within governmental or international organizations.
Languages: Fluency in English and Tetum is mandatory for this position. Proficiency in additional languages may be considered an asset but is not required.
