Job Overview: The Human Resource (HR) Assistant position at UN Women is crucial for supporting the organization's HR functions in Timor-Leste. The HR Assistant will work under the technical guidance of the Regional HR Business Partner and the daily supervision of the Operations Manager. The role involves providing administrative and logistical support for recruitment, benefits administration, and personnel management. The HR Assistant will ensure compliance with UN Women’s HR policies and guidelines, facilitating recruitment processes, managing staff performance, and maintaining HR databases. Duties and Responsibilities: The HR Assistant will be responsible for a variety of key functions, including:
Providing HR administrative and logistical services, ensuring compliance with UN Women rules and regulations. This includes processing correspondence, maintaining records, and managing deadlines.
Coordinating recruitment processes by drafting job descriptions, screening candidates, and participating in interview panels.
Performing other duties as necessary for the efficient functioning of the office.
Required Qualifications: Candidates must possess strong knowledge of HR administration processes and policies, with the ability to execute administrative transactions effectively. Confidentiality in handling sensitive information is essential. The HR Assistant should also have good quantitative skills for report generation and strong IT skills for database management and HR systems.
Educational Background: Completion of secondary education is required for this position. A Bachelor’s degree in Human Resources, Business, or Public Administration is considered an asset, enhancing the candidate's qualifications for the role.
Experience: The ideal candidate should have at least 5 years of relevant experience in office administration and/or human resource management. Proficiency in using computers and office software packages, such as MS Word and Excel, is required. Experience with modern web-based ERP systems, preferably Oracle Cloud, is desirable, as it will aid in the management of HR processes.
