Job Overview:
The Project Assistant will play a crucial role in supporting the implementation of IOM's projects in Brazil, particularly those aimed at addressing the needs of migrants, refugees, and vulnerable populations. The successful candidate will work under the supervision of the Chief of Mission and the Coordinator of the regular pathways project, assisting in various project-related activities such as development, reporting, monitoring, and evaluation. The position requires a proactive approach to project management, ensuring that activities align with established work plans and timelines. The Project Assistant will also be responsible for budget monitoring, donor reporting, and maintaining effective communication with various stakeholders, including government agencies, NGOs, and international organizations. This role is vital for ensuring that IOM's initiatives are executed efficiently and effectively, contributing to the organization's overall mission in Brazil.

Duties and Responsibilities:
The Project Assistant will be responsible for a wide range of duties, including but not limited to:
  • Assisting in the planning, coordination, and implementation of project activities, ensuring they align with approved work plans and timelines.
  • Monitoring budget execution and tracking expenditures, proposing adjustments as necessary in coordination with the supervisor and finance unit.
  • Drafting, compiling, and contributing to donor reports, ensuring accuracy and compliance with reporting requirements.
  • Participating in meetings, workshops, and conferences, maintaining effective liaison with government counterparts, implementing partners, UN agencies, and other stakeholders.
  • Monitoring the performance of implementing partners, reviewing deliverables, and reporting any delays or risks to the supervisor.
  • Providing technical and administrative support for the development of new project proposals and funding applications.
  • Performing required administrative actions in accordance with IOM rules and procedures.
  • Supporting the editing, proofreading, and translation of reports and communication outputs.
  • Assisting in the operational management of ongoing projects, tracking activities and results against indicators. 1
  • Providing administrative support to the IOM Development Fund Team, including documentation and procurement processes. 1
  • Supporting the organization and logistical coordination of events and trainings. 1
  • Performing other duties as assigned in support of project objectives.

Required Qualifications:
Candidates must possess a school diploma with six years of relevant experience or a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited institution, along with four years of relevant professional experience. Accredited institutions are those listed in the UNESCO World Higher Education Database. Candidates should demonstrate strong organizational skills, attention to detail, and the ability to work collaboratively in a multicultural environment. Knowledge of project management principles and practices is essential, as is familiarity with IOM's mission and values.

Educational Background:
The educational background required for this position includes either a school diploma with six years of relevant experience or a Bachelor’s degree in a related field such as Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, or Law. The degree must be from an accredited academic institution recognized by the UNESCO World Higher Education Database. This educational foundation is critical for understanding the complexities of migration issues and the operational context in which IOM operates.

Experience:
Candidates should have experience in liaising with governmental authorities, national and international institutions, UN agencies, and NGOs. Experience working with migrants, refugees, and other vulnerable groups is essential. Prior work experience with international humanitarian organizations or in a multi-cultural setting is advantageous. The role requires a demonstrated ability to manage multiple tasks and priorities effectively, as well as experience in project management and reporting.

Languages:
Fluency in Portuguese and English is required for this position, both oral and written. A working knowledge of Spanish is desirable, as IOM's official languages include English, French, and Spanish. Proficiency in the required languages will be evaluated during the selection process, which may include written and/or oral assessments.
