Job Overview: The CVAC Intern position is designed to provide administrative support for the Canada Visa Application Centre (CVAC) operated by IOM in Phnom Penh, Cambodia. The intern will work under the supervision of the CVAC Project Coordinator and the CVAC Regional Coordinator, directly reporting to the Chief of Mission for administrative matters. The primary focus of this role is to assist in the delivery of visa-related services, ensuring that the application process is efficient and meets the standards set by Immigration, Refugees and Citizenship Canada (IRCC). The intern will engage with applicants, providing them with necessary information and support throughout the visa application process, thereby contributing to a positive experience for all clients. This internship is an excellent opportunity for individuals interested in gaining practical experience in migration services and administrative support within an international organization.
Duties and Responsibilities: The intern will be responsible for a variety of tasks, including but not limited to: providing client services to applicants, ensuring compliance with IRCC contractual obligations; assisting in the distribution of forms and checklists; responding to inquiries via phone, email, chat, and in person; collecting and sorting visa applications and supporting documents; verifying the completeness and correctness of application forms; maintaining an expert user level with application management software; ensuring quality checks of collected data and generated invoices; collecting visa and service fees, issuing invoices, and reconciling daily collections; generating daily reports on applications and fees; securely transferring applications and passports to and from IRCC specified visa offices; and informing management of any issues related to daily operations. The intern will also be expected to comply with IOM's Staff Rules and Regulations and perform any other related duties as assigned by the CVAC Team Leader or Deputy Team Leader.
Required Qualifications: Candidates must possess a high school diploma with four years of relevant experience, or a university degree in a related field with two years of relevant professional experience. Experience in migrant-related programs or visa-related services is essential, along with a background in customer service. The ideal candidate should demonstrate strong communication skills and the ability to work effectively in a team environment.
Educational Background: The educational requirements for this position include either a high school diploma with significant relevant experience or a university degree in fields related to migration, international relations, or public administration. Candidates should have a solid understanding of the migration process and the administrative functions associated with visa applications.
Experience: The position requires candidates to have less than two years of relevant working experience. This could include internships, volunteer work, or employment in areas related to migration services, customer service, or administrative support. Experience in environments that require interaction with diverse populations is highly valued.
Languages: Fluency in English is mandatory for this position, as it is the primary language of communication within the organization and with applicants. Knowledge of the predominant local language in Cambodia is considered an asset, as it may enhance communication with local applicants and stakeholders.
