Job Overview: The Project Assistant will play a crucial role in supporting the planning, implementation, and management of UN Women interventions under the project 'Women’s Economic Empowerment in the South Caucasus' (WEESC). This project aims to enhance economic security and access to development opportunities for women, especially those from the poorest and most excluded backgrounds in Armenia, Azerbaijan, and Georgia. The Project Assistant will report to the Women’s Economic Empowerment Programme Specialist based in Tbilisi, Georgia, and will work closely with the programme and operations teams across Armenia and Georgia, as well as the ECA Regional Office. The role involves providing administrative and logistical support, financial management assistance, and facilitating knowledge sharing among stakeholders. The Project Assistant will also be responsible for ensuring compliance with UN Women’s policies and procedures while contributing to the overall success of the programme.
Duties and Responsibilities:
Provide administrative and logistical support for programme formulation and management, including preparing work plans, budgets, and proposals.
Offer technical guidance on routine delivery and reporting of programme activities and finances.
Prepare information for audits and support the implementation of audit recommendations.
Assist in financial management by creating projects in the Quantum system, preparing budget revisions, and monitoring budget preparation.
Undertake logistical and administrative arrangements for meetings, workshops, and events, including travel arrangements for the Programme Team.
Prepare public information materials and briefing packets, and assist in the preparation of presentations.
Support resource mobilization efforts by preparing cost-sharing agreements and processing information from donors.
Facilitate knowledge building by synthesizing lessons learned and organizing training for office personnel and partners.
Manage day-to-day security-related matters and assist in monitoring the implementation of security policies. 1
Perform other duties as necessary for the efficient functioning of the office and organization.
Required Qualifications: The position requires a minimum of secondary education, with a Bachelor’s degree in business administration or related fields being desirable. Candidates should have at least 7 years of progressively responsible experience in administration, procurement, HR, or logisticssupport services. Proficiency in using computers and office software packages (such as MS Word and Excel) is essential. Knowledge of UN Women/UNDP procurement and financial rules is an advantage, along with work experience in gender equality and women's empowerment. Familiarity with modern web-based ERP systems, preferably Oracle Cloud, is also desirable.
Educational Background: Completion of secondary education is required for this position. A Bachelor’s degree in business administration or related fields is preferred, as it provides a foundational understanding of the administrative and financial processes necessary for the role.
Experience: Candidates must possess at least 7 years of progressively responsible experience in relevant fields such as administration, procurement, HR, or logistics support services. If the candidate holds a Bachelor’s degree, a minimum of 4 years of experience is acceptable. Experience in the usage of computers and office software packages is required, and familiarity with UN Women/UNDP procurement and financial regulations is an additional advantage. Work experience in gender equality and women's empowerment is also desirable, as it aligns with the mission of UN Women.
Languages: Fluency in English and Armenian is mandatory for this position. Additionally, knowledge of another official UN language (such as French, Arabic, Chinese, Russian, or Spanish) is considered desirable, as it can enhance communication and collaboration with diverse stakeholders.
Additional Notes: The position is full-time and involves working closely with various stakeholders, including governmental and civil society partners. The role may require occasional travel within the region to support project implementation.
