Job Overview:
The Project Assistant will play a crucial role in supporting the planning, implementation, and management of UN Women interventions under the multi-year project "Women’s Economic Empowerment in the South Caucasus" (WEESC). This project aims to enhance economic security and improve access to livelihood opportunities for women, especially those who are the poorest and most excluded in the South Caucasus. The Project Assistant will report to the Programme Specialist and Programme Analyst based in the UN Women Country Office in Tbilisi, Georgia. The role requires close collaboration with the programme and operations team in Georgia, as well as with Responsible Parties in Armenia and Azerbaijan, to ensure successful implementation of the programme and achievement of planned results. The Project Assistant will provide administrative and logistical support, financial management assistance, and facilitate knowledge sharing within the organization.

Duties and Responsibilities:
  • Provide administrative and logistical support to the formulation and management of programmes, including preparing work plans, budgets, and proposals; offering technical guidance on routine delivery and reporting; and preparing information for audits.
  • Support financial management by creating projects in the Quantum system, preparing budget revisions, monitoring budget preparation, reviewing financial reports, and processing payments.
  • Undertake logistical and administrative arrangements for meetings, workshops, and events, including travel arrangements for the Programme Team and preparing public information materials.
  • Assist in resource mobilization by preparing agreements, following up on contributions, and organizing information from donors and the programme team.
  • Facilitate knowledge building by supporting the synthesis of lessons learned and organizing training for office personnel and partners.
  • Perform other duties as necessary for the efficient functioning of the Office and the Organization.

Required Qualifications:
Completion of secondary education is required, with a Bachelor’s degree in business administration or related fields being desirable. Candidates should have at least 7 years of progressively responsible experience in administration, procurement, HR, or logistic support services, or 4 years of experience if they hold a Bachelor’s degree. Proficiency in using computers and office software packages (such as MS Word and Excel) is required, and knowledge of UN Women/UNDP procurement and financial rules is an advantage. Experience in gender equality and women’s empowerment is desirable, as is familiarity with modern web-based ERP systems, preferably Oracle Cloud.

Educational Background:
The minimum educational requirement is completion of secondary education. A Bachelor’s degree in business administration or related fields is preferred, as it provides a foundation for the administrative and financial responsibilities of the role.

Experience:
Candidates should possess a minimum of 7 years of progressively responsible experience in administration, procurement, HR, or logistic support services. If the candidate holds a Bachelor’s degree, a minimum of 4 years of relevant experience is acceptable. Experience in the usage of computers and office software packages is essential, and familiarity with UN Women/UNDP procurement and financial regulations is an additional advantage. Work experience in the field of gender equality and women’s empowerment is also desirable, as it aligns with the mission of UN Women.

Languages:
Fluency in English and Georgian is required for this position. Additionally, knowledge of another official UN language (such as French, Arabic, Chinese, Russian, or Spanish) is desirable, as it can enhance communication and collaboration within the international context of UN Women’s work.

Additional Notes:
The position is full-time and involves working closely with various stakeholders in the South Caucasus region. The Project Assistant will be expected to adhere to UN Women’s policies and procedures, including a zero-tolerance policy on conduct incompatible with the aims of the United Nations.
