Job Overview: The Finance and Administration Assistant plays a crucial role in supporting the financial and administrative functions of the Mai-Tsebri Field Office. This position is responsible for managing financial transactions, ensuring compliance with DRC’s Operational Handbook, and providing administrative support to the office. The assistant will handle payments, manage petty cash, and maintain accurate financial records. Additionally, the role involves overseeing office systems and equipment, managing office supplies, and ensuring that all administrative tasks are carried out efficiently. The assistant will work closely with the finance officer and other colleagues to ensure smooth operations at the base office level, contributing to the overall effectiveness of DRC’s mission in the region.
Duties and Responsibilities: The Finance and Administration Assistant will be responsible for a variety of tasks, including but not limited to: managing petty cash and clearing cash advances upon request; preparing monthly cash counts; maintaining proper filing of all financial documentation such as vouchers, contracts, and tender documents; assisting in the preparation of payment requests and ensuring compliance with DRC’s financial procedures; processing withholding and income taxes as well as pension funds; preparing receipts, payments, and other vouchers as required; ensuring timely replenishment of office cash; recording financial transactions in the system; ensuring that all office systems and equipment are in good working order; following up on payment of office and guest house bills; managing office supplies and necessary repairs; overseeing vehicle movements in accordance with DRC fleet management policies; ensuring staff have valid identification cards; supervising the office cleaner; and performing other tasks as assigned by the supervisor.
Required Qualifications: Candidates must possess a minimum of 1 year of relevant work experience, preferably within an international NGO. They should have experience with administrative tasks and demonstrate good communication skills. Advanced proficiency in Excel is required, along with basic proficiency in PowerPoint and Word. Well-developed organizational and planning skills are essential to meet deadlines and ensure efficient operations. Candidates should also exhibit a strong commitment to DRC’s core competencies, including striving for excellence, collaborating with others, taking the lead, communicating effectively, and demonstrating integrity in all aspects of their work.
Educational Background: A Diploma or Bachelor’s degree in accounting or a relevant field from a recognized institution is required for this position. Candidates should have a solid understanding of financial principles and practices, as well as the ability to apply these in a practical setting. Relevant certifications or licenses in finance or administration would be advantageous.
Experience: The position requires a minimum of 1 year of relevant work experience, ideally within an international NGO setting. Candidates should have a proven track record of successfully managing financial and administrative tasks, demonstrating their ability to work effectively in a fast-paced environment. Experience with financial software and systems is also beneficial, as is familiarity with the specific challenges faced by humanitarian organizations.
Languages: Fluency in English, Tigrigna, and Amharic is mandatory, both in spoken and written forms. Candidates should be able to communicate effectively in these languages to ensure smooth interactions with colleagues and stakeholders. Additional language skills may be considered an asset, particularly if they enhance communication with local communities.
