Job Overview:
The Supply Chain Assistant (Fleet Assistant) position at the Danish Refugee Council (DRC) in Mykolaiv is a critical role that supports the organization's operational efficiency and effectiveness. The successful candidate will be responsible for managing and optimizing the use of all motorized assets within the DRC fleet. This includes overseeing procurement processes for goods and services as assigned, as well as handling logistics functions related to storage, warehousing, and transportation at the Mykolaiv office. Reporting directly to the Fleet Team Leader, the Supply Chain Assistant will play a vital role in ensuring that fleet operations run smoothly and that all vehicles are maintained in optimal condition. The position requires a proactive approach to fleet management, including conducting vehicle inspections, monitoring usage and fuel consumption, and maintaining accurate fleet documentation. The Supply Chain Assistant will also collaborate with various departments to coordinate transport-related matters, contributing to the overall efficiency and safety of DRC's operations in the region.

Duties and Responsibilities:
The duties and responsibilities of the Supply Chain Assistant (Fleet Assistant) include but are not limited to:
  • Supporting daily fleet operations under the supervision of the Fleet Officer / Fleet Team Leader in the Mykolaiv office.
  • Conducting basic vehicle inspections to ensure that all mandatory safety equipment is available and reporting any malfunctions or safety risks.
  • Monitoring vehicle use, location, fuel consumption, and fleet consumables to ensure efficient operations.
  • Collecting, maintaining, and updating fleet documentation, including trip sheets, vehicle logs, reports, insurance documents, and databases.
  • Following up on regular vehicle maintenance and assisting with vehicle rentals in accordance with internal procedures.
  • Supporting drivers with fuel and mileage reporting, training, and ensuring compliance with Fleet Standard Operating Procedures (SOPs) and road safety regulations.
  • Contributing to staff safety, accident prevention, incident reporting, and overall fleet efficiency, including cost optimization (Total Cost of Ownership - TCO).
  • Coordinating with Programs, HR, Finance, Humanitarian Disarmament and Peacebuilding (HDP), ABA Consortium, and other departments on transport-related matters and ensuring proper archiving of fleet documentation.

Required Qualifications:
To be considered for the Supply Chain Assistant (Fleet Assistant) position, candidates must meet the following qualifications:
  • A minimum of 1 year of work experience in Supply Chain, Logistics, or any other relevant field.
  • Basic knowledge of the technical condition of vehicles and the ability to conduct visual inspections.
  • A valid category B driver's license is required.
  • A Bachelor's Degree in Logistics, Logistics and Supply Chain Management, Economics, or related fields is essential.
  • Experience with standard procurement procedures and documentation is necessary.
  • Fluency in the Ukrainian language is mandatory, as effective communication is crucial for this role.

Educational Background:

Experience:

Languages:
Fluency in the Ukrainian language is a mandatory requirement for this position, as it is essential for effective communication within the team and with stakeholders. Additionally, basic knowledge of the English language is desirable, as it may facilitate communication with international colleagues and enhance the candidate's ability to engage with DRC's broader operational framework.

Additional Notes:
The Supply Chain Assistant (Fleet Assistant) position is offered on a contract basis with a length of 12 months, which is renewable depending on performance and funding availability after the successful completion of a 3-month probation period. The position is classified under Band I, indicating a non-management designation. The duty station for this role is Mykolaiv, and the expected start date is February 202
