Job Overview: The Grants and Partnership Officer will play a crucial role in supporting the Grants Unit by managing documentation and administrative tasks related to grants and partnerships. This position is primarily focused on file management and ensuring compliance with donor requirements. The officer will assist in the identification and assessment of local and national NGOs and civil society organizations (CSOs), facilitating the practical application of partnership standard operating procedures (SOPs) and tools. The role involves supporting project cycle management (PCM) tasks, tracking reporting deadlines, and ensuring timely submission of partner reports. The officer will also coordinate capacity development activities for partners, maintain records of these initiatives, and support field monitoring visits to partners. Overall, the Grants and Partnership Officer will contribute to the effective management of grants and partnerships, ensuring that all activities align with NRC's mission and donor expectations.
Duties and Responsibilities:
Partner Identification and Assessment Support: Assist in identifying local and national NGOs and CSOs, coordinate partner assessments, and document capacity strengthening plans.
Project Cycle Management (PCM) Support: Facilitate the application of partnership SOPs and tools, support field teams with documentation and information management, and review partner performance reports.
Grants and Agreement Administration: Develop partner sub-grant agreements, track reporting deadlines, ensure timely submission of reports, and conduct initial reviews for completeness.
Capacity Development Support: Coordinate partner capacity development activities, manage logistical arrangements for trainings and workshops, and maintain records of capacity strengthening initiatives.
Coordination and Representation Support: Organize meetings with partners and agencies, prepare minutes, and follow up on action points.
Documentation and Compliance: Maintain the filing system for grants and partnerships, ensuring all agreements and reports are archived for audits.
Monitoring Support: Prepare documents for field monitoring visits, coordinate schedules, and compile monitoring data and notes.
Grants Tracking & Filing: Maintain the grants tracker and manage the filing of all grant documentation.
Compliance Monitoring: Track donor requirements and deadlines, ensuring compliance with internal and external regulations. 1
Development & Quality Control: Support the development of donor applications and reports, ensuring high-quality standards are met. 1
Learning & Analysis: Document and analyze lessons learned from proposal and reporting processes, ensuring alignment with donor rules.
Required Qualifications:
Minimum of 2 years of experience in partnerships support, grants administration, or project support.
Bachelor's degree in Development Studies or a related field.
Understanding of basic donor regulations and grants management processes.
Strong organizational and administrative skills with attention to detail.
Proficient in Microsoft Windows Word and Excel.
Willingness to travel to field offices and work in challenging environments.
Good cultural awareness and sensitivity, with the ability to manage multiple tasks and maintain organized systems.
Knowledge of NGO operations and the humanitarian sector is an advantage.
Educational Background: A Bachelor's degree in Development Studies or a related field is required for this position. This educational background provides the necessary foundation for understanding the complexities of development work, partnerships, and grants management.
Experience: The position requires a minimum of 2 years of relevant experience in partnerships support, grants administration, or project support. This experience should demonstrate the candidate's ability to manage administrative tasks effectively, understand donor regulations, and contribute to the successful implementation of grants and partnerships.
Languages: Fluency in English is mandatory, with excellent written and oral communication skills. Additional language skills may be considered an advantage, particularly if they relate to the local context or the communities served by NRC.
Additional Notes: This position is based in Kampala, Uganda, and is a national contract for a duration of 12 months, with the possibility of extension depending on funding availability.
