Job Overview: The Human Resource (HR) Assistant position at UN Women is crucial for providing administrative and logistical support in various HR functions. This role involves working under the technical guidance of the Regional HR Business Partner and the daily supervision of the Operations Manager. The HR Assistant is responsible for supporting recruitment processes, managing benefits and entitlements for staff and contractors, and handling other HR administrative tasks. The position requires a strong understanding of HR policies and guidelines, as well as the ability to maintain confidentiality and manage sensitive information. The HR Assistant will also play a key role in facilitating staff performance management and learning and development initiatives, ensuring compliance with UN Women’s standards.
Duties and Responsibilities: The HR Assistant will perform a variety of duties, including but not limited to: providing HR administrative and logistical services in compliance with UN Women rules; processing and finalizing correspondence; maintaining files and records; managing leave and record management; processing payments and administering entitlements for international staff; facilitating recruitment processes by drafting job descriptions, screening candidates, and preparing recruitment documentation; supporting staff performance management and learning development; maintaining HR databases and generating reports; organizing training and workshops; and ensuring knowledge sharing within the organization. The HR Assistant will also be responsible for maintaining confidentiality and security of HR data and facilitating compliance with audit recommendations.
Required Qualifications: Candidates must possess strong knowledge of HR administration processes and policies, with the ability to execute administrative transactions effectively. They should have good quantitative skills for report generation and strong IT skills, particularly in using office software packages. The ability to handle confidential information and provide inputs for business process improvements is essential. Additionally, candidates should demonstrate effective communication skills and the ability to engage with stakeholders.
Educational Background: Completion of secondary education is required for this position. A Bachelor’s degree in Human Resources, Business, or Public Administration is considered an asset and may enhance a candidate's qualifications for the role.
Experience: The ideal candidate should have at least 5 years of relevant experience in office administration and/or human resource management. Experience with computer systems and office software, particularly MS Word and Excel, is required. Familiarity with modern web-based ERP systems, preferably Oracle Cloud, is desirable and will be beneficial for the role.
Languages: Fluency in English is mandatory for this position. Proficiency in additional languages may be considered an asset, enhancing communication within the diverse environment of UN Women.
