Job Overview: The Programme Associate position is integral to the success of UN Women’s initiatives in China, particularly in the area of women's economic empowerment (WEE). The role involves supporting the Programme Team in developing and implementing effective programs that align with UN Women’s rules and regulations. The Programme Associate will contribute to research, financial management, and program implementation, providing essential operational, administrative, and programmatic support. This position requires close collaboration with various stakeholders, including operations, program, and project staff within the China Office, as well as with the Asia and the Pacific Regional Office and UN Women Headquarters. The Programme Associate will play a key role in ensuring that programs are effectively managed and that financial and operational issues are resolved efficiently.
Duties and Responsibilities:
Provide advanced administrative and logistical support for program formulation and management, including preparing work plans, budgets, and proposals.
Offer technical guidance to country offices and executing agencies on program delivery and reporting.
Coordinate information collection for program audits and support the implementation of audit recommendations.
Develop or update standard operating procedures and guidelines for program management.
Review program data for the Country Office website and compile information for various documents.
Support financial management by creating projects in the Quantum system, preparing budget revisions, and monitoring program finances.
Oversee logistical arrangements for meetings, workshops, and events, including travel arrangements for the Programme Team.
Prepare public information materials and liaise with high-level officials on administrative issues.
Facilitate knowledge building and sharing by coordinating training for staff and partners on program management and operations. 1
Perform other duties as necessary for the efficient functioning of the Office and the Organization.
Required Qualifications: Candidates must have a minimum of secondary education, with a Bachelor’s degree in Business or Public Administration considered an asset. They should possess strong knowledge of program management and the ability to synthesize and present information clearly. Candidates must demonstrate proficiency in administering administrative processes and executing transactions, as well as managing data and workflow effectively. Excellent financial and budgeting skills are essential, along with strong IT skills. The role requires a proactive approach to problem-solving and effective communication skills.
Educational Background: Completion of secondary education is required for this position. A Bachelor’s degree in Business or Public Administration is an asset and preferred for candidates seeking to enhance their qualifications for the role.
Experience: Candidates should have at least 7 years of progressively responsible experience in administration or program management/support. Experience in a computer environment using multiple office software packages is required, as is experience in supporting a team.
