Job Overview:
The Finance & Grants Manager plays a crucial role in the financial management and administrative support of the FHI 360 Country Office in Malawi. Reporting to the Associate Director of Finance and Administration, this position is responsible for overseeing accounting and reporting functions, ensuring compliance with donor and organizational policies, and providing support to project offices and seconded staff. The Finance & Grants Manager will collaborate closely with the Finance Officer and Administrative Assistant to maintain financial integrity and operational efficiency. This role requires a proactive approach to managing financial resources, preparing budgets, and ensuring accurate financial reporting, which are essential for the successful implementation of programs and projects.

Duties and Responsibilities:
The Finance & Grants Manager will assist in preparing yearly work-plan budgets for submission to funders, review payment requests for accuracy and compliance, and coordinate with the Associate Director of Finance and Operations to analyze monthly financial budgets and projections. This position will manage the program budget, oversee the monthly financial close processes, and ensure timely submission of financial information to headquarters. Responsibilities also include reviewing bank reconciliations, preparing cash requests, and managing financial reporting, including VAT and PEPFAR Expenditure Reporting. The Finance & Grants Manager will provide capacity development and technical support to sub-awardees, ensuring robust grant management systems are in place. Additionally, this role involves participating in policy formulation, ensuring compliance with donor-related policies, and fostering teamwork among administrative, finance, and program teams.

Required Qualifications:
Candidates must possess a university degree or higher diploma in Accounting, Finance, Business Administration, or a recognized equivalent. A minimum of five years of experience in accounting related to NGOs and community-level programs is required, with a demonstrated increase in responsibility. Applicants should have a solid understanding of donor-funded regulations and systems, as well as the ability to manage complex grant programs effectively. Strong computer skills and well-developed written and oral communication skills are essential for this role.

Educational Background:
The ideal candidate should have a bachelor's degree in accountancy from a recognized institution. Additional qualifications in finance or business administration will be considered an advantage, as they contribute to a comprehensive understanding of financial management in a nonprofit context.

Experience:
The position requires a minimum of five years of relevant experience in accounting, particularly within the NGO sector. Candidates should demonstrate a progressive increase in responsibility and a strong grasp of financial management practices, especially in relation to donor-funded projects and programs.

Languages:
Proficiency in English is mandatory, as it is the primary language of communication within the organization and with donors. Knowledge of local languages may be considered an asset, as it can facilitate better communication with local stakeholders and communities.

Additional Notes:
This position is based in Lilongwe, Malawi, and may require local travel (approximately 15%) to implementation districts and sub-recipients’ offices.
