Job Overview: The Project Associate (Data & Admin) position is crucial for supporting the Family Reunification Task Force (FRTF) project, which aims to reunite families separated by migration policies. The incumbent will work under the general oversight of the Chief of the Global and Domestic Programmes Unit and the direct supervision of the Senior Programme Officer. The role involves managing case files, data entry, and ensuring the integrity of information within the FRTF Program database. The Project Associate will also assist in generating reports, analyzing data, and coordinating with various teams to facilitate project implementation. This position requires a proactive approach to problem-solving and a commitment to maintaining high standards of data management and administrative support.
Duties and Responsibilities: The duties and responsibilities of the Project Associate include:
Supporting the creation, organization, maintenance, and archiving of FRTF case files and records.
Accurately inputting data into the FRTF Program database and tracking systems.
Participating in periodic data audits and conducting quality checks to ensure the reliability of information.
Generating and formatting daily reports for submission to U.S. government donors.
Assisting in compiling and analyzing data to identify trends and discrepancies.
Coordinating with developers to maintain and improve reporting tools.
Drafting and updating standard operating procedures (SOPs), user guides, and templates.
Preparing and entering purchase orders and related documentation in IOM systems.
Liaising with administrative, procurement, and finance teams for timely processing of requests. 1
Providing logistical and administrative support for project implementation. 1
Maintaining professional communication with stakeholders. 1
Undertaking case management activities as directed, including document translation. 1
Participating in team meetings and trainings, sharing updates as required. 1
Undertaking duty travel as requested and performing other duties as assigned.
Required Qualifications: The required qualifications for the Project Associate position include:
Completed secondary education with five years of relevant working experience, or a Bachelor’s degree in Case Management, Social Services, Social Sciences, or a related field with three years of relevant experience.
Experience in administrative and financial management, budget monitoring, and internal control procedures.
Proficiency in office software packages, particularly MS Word and Excel, and knowledge of data analysis.
Familiarity with the migratory context in the USA and Central America.
Experience assisting vulnerable populations in accessing services in the United States is an advantage.
Educational Background: Candidates must have completed secondary education as a minimum requirement. A Bachelor’s degree in a relevant field such as Case Management, Social Services, or Social Sciences is preferred, particularly for those with less extensive work experience. This educational background ensures that candidates possess the necessary theoretical knowledge and practical skills to effectively support the FRTF project.
Experience: The position requires candidates to have a minimum of five years of relevant working experience if they only have secondary education. If they hold a Bachelor’s degree, three years of relevant experience is sufficient. Candidates should have experience in administrative and financial management, including budget monitoring and cash management. Familiarity with internal control procedures is also essential. Experience in using office software and knowledge of the migratory context in the USA and Central America will be beneficial.
Languages: Fluency in English and Spanish is required for this position, both oral and written. These language skills are essential for effective communication within the team and with stakeholders involved in the FRTF project. Knowledge of additional languages may be considered an asset but is not mandatory.
Additional Notes: The position is a Special Short Term Graded contract with an initial duration of 7 months. The salary for this position is USD 5,508.33 monthly, and it is subject to funding confirmation. The selection process may be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment for 24 months. This post is subject to local recruitment, and only candidates with a valid residence and work permit for the United States will be considered. The appointment is contingent upon medical fitness certification and verification of residency and visa requirements. IOM has a zero-tolerance policy regarding misconduct and does not charge any fees during the recruitment process.
