Job Overview: The Financial Report Assistant will play a crucial role in ensuring the accuracy and reliability of financial reporting for the organization. This position involves reviewing financial reports, verifying data against certified documents, and ensuring compliance with applicable tax and social legislation. The assistant will be responsible for checking that all financial data is recorded in the appropriate budget headings and codes, and that all supporting documents are eligible for the action. The role requires a keen eye for detail and a strong understanding of financial management principles, particularly in the context of international humanitarian projects. The assistant will also support the preparation of financial reports and budget monitoring, ensuring that all financial activities align with the organization's contractual obligations and financial terms.
Duties and Responsibilities:
Assist with reviewing the Financial Report by counterchecking data with certified physical and electronic copies, ensuring all supporting documents are eligible for the action.
Verify personnel costs, including salaries, social security" style="border-bottom: 1px dotted #007bff !important;">security contributions, and other statutory costs required by the Ukrainian Government.
Review office costs such as travel, rent, utilities, and office supplies.
Verify operational costs related to transportation, financial support to beneficiaries, and training expenditures.
Confirm subcontracting costs declared by the implementing partner (IP) correspond to the financial statements.
Review procurement procedures to ensure compliance with the IP Agreement.
Follow up on the monthly delivery of the updated asset list related to procurements.
Process funding disbursement to the IPs according to contractual obligations.
Support the preparation of financial reports and budget monitoring, including invoices and payment requests. 1
Perform other duties as assigned by the supervisor.
Required Qualifications:
University Degree in Business Administration, Finance, Management, Accounting, or a related field from an accredited institution with two years of relevant professional experience; or a High School Degree/Certificate with four years of relevant professional experience.
Experience in administrative and financial management, budget monitoring, cash management, and internal control procedures is preferred.
Familiarity with international humanitarian organizations and multi-cultural settings is advantageous.
Proficiency in finance and accounting, particularly with international organizations, is a plus.
Educational Background: Candidates must possess a University Degree in a relevant field such as Business Administration, Finance, Management, or Accounting from an accredited academic institution. Alternatively, a High School Degree/Certificate with four years of relevant professional experience is acceptable. This educational background ensures that candidates have a solid foundation in financial principles and practices necessary for the role.
Experience: The ideal candidate should have at least two years of relevant professional experience in financial management, particularly within international organizations or humanitarian settings. Experience with budget monitoring, cash management, and internal control procedures is highly desirable. Familiarity with the operations of non-governmental or government institutions in a multi-cultural environment will be considered an advantage, as it demonstrates the ability to navigate complex organizational structures and diverse stakeholder needs.
Languages: Proficiency in English is mandatory, as it is the primary language of communication within the organization. Knowledge of Ukrainian is also essential, given the local context of the position. Additional languages may be considered an asset, particularly if they enhance communication with international partners or stakeholders.
