Job Description
Job Posting Organization:
The United Nations Development System was reformed on January 1, 2019, under the leadership of the UN Secretary-General to enhance its effectiveness in achieving the 2030 Agenda and the Sustainable Development Goals (SDGs). The UN Resident Coordinator Offices (UN RCO) play a crucial role in this system, supporting countries in their development priorities and the attainment of the SDGs. The UN RCO operates under the guidance of an empowered and independent UN Resident Coordinator, who is the highest-ranking official of the UN Development System at the country level. This position is specifically located in Tashkent, Uzbekistan, within the Resident Coordinator's Office (RCO).

Job Overview:
The Executive Assistant will provide comprehensive support to the UN Resident Coordinator (RC) and ensure the efficient functioning of the RC's front office. This role involves managing the RC's schedule, maintaining protocol procedures, and facilitating communication within the office and with external stakeholders. The Executive Assistant will be responsible for organizing meetings, preparing necessary documents, and ensuring that all logistical arrangements are in place for the RC's engagements. The position requires a high level of confidentiality and professionalism, as the Executive Assistant will handle sensitive information and interact with high-ranking officials and partners. The role is pivotal in ensuring that the RC can effectively fulfill their responsibilities and represent the UN in Uzbekistan.

Duties and Responsibilities:
  • Ensure effective and efficient support to the functions of the Resident Coordinator and RCO, including managing the RC's calendar, arranging appointments, and maintaining protocol procedures.
  • Organize services for RC's meetings, including venue rental and translation services, and prepare talking points and briefing notes.
  • Manage the RC's missions and representation schedule, including travel arrangements and official communications.
  • Provide communication support by preparing correspondence, maintaining filing systems, and coordinating information flow within the office.
  • Act as an alternate to the RCO Administrative Assistant when required, supporting day-to-day administrative tasks.
  • Draft routine correspondence and assist with data collection and analysis for reports and presentations.
  • Ensure that all logistics at the RCO are functioning well, including IT and office equipment.
  • Perform other related administrative duties as assigned, including organizing seminars and conferences.

Required Qualifications:
Candidates must possess a high school diploma or equivalent, with additional certification or training in human resources, administration, finance, or event organization being highly desirable. A minimum of seven years of progressively responsible experience in secretarial, administrative, or related fields is required. Candidates with a first-level university degree may have the minimum experience requirement reduced by two years. Experience in providing support within the UN system or similar international organizations is preferred, along with experience in front office management and data analytics.

Educational Background:
Completion of a high school diploma or equivalent is required. Additional certifications or training in relevant fields such as human resources, administration, audit, finance, or management are highly desirable. This educational background will provide the necessary foundation for the administrative and organizational tasks required in this role.

Experience:
A minimum of seven years of progressively responsible experience in secretarial, administrative, program, budget/financial, or human resources management is required. Candidates with a first-level university degree may have this requirement reduced to five years. Experience in providing senior executive support within the UN system or similar organizations is desirable, as is experience in front office management and data analytics.

Languages:
English and Russian are required for this position, with a minimum proficiency level of UN Level II in reading, writing, listening, and speaking. Knowledge of Uzbek is desirable, with a minimum proficiency level of UN Level I. This language requirement is essential for effective communication within the UN system and with local stakeholders.

Additional Notes:
This is a Fixed Term position, initially for one year, with the possibility of extension subject to budgetary approval and availability of funds. The position is subject to local recruitment, meaning that candidates must be residents of Uzbekistan or within commuting distance.
