Job Overview:
The position of Administrative Support for the Migrants Protection and Assistance unit at IOM CO in Tashkent is crucial for the effective implementation of projects aimed at preventing irregular migration to Sweden and the EU. The successful candidate will work under the supervision of the Chief of Mission and the Senior Project Assistant, providing essential administrative support. This role involves monitoring project activities, managing budgets, and ensuring effective communication and coordination among various stakeholders, including governmental authorities, NGOs, and UN agencies. The candidate will also be responsible for drafting reports, correspondence, and maintaining project documentation, which is vital for the transparency and accountability of IOM's operations.

Duties and Responsibilities:
  • Assist in the implementation and monitoring of project activities, ensuring they align with IOM's objectives.
  • Retrieve, compile, summarize, analyze, and present information/data on specific project topics to support decision-making.
  • Monitor the project budget, verify the availability of funds, obtain necessary approvals, and update budget-related information as required.
  • Act as the focal point for administrative coordination of project implementation, liaising extensively with diverse organizational units and external parties to initiate requests and process administrative actions.
  • Draft status reports identifying shortfalls in delivery, bringing them to the supervisor's attention and suggesting remedial actions.
  • Prepare and update reports, briefing notes, graphics, statistical tables, and presentations related to project issues.
  • Respond to complex information requests and inquiries, maintaining organized files and records.
  • Organize meetings, workshops, and training sessions, ensuring effective participation and coordination.
  • Participate in meetings and conferences, assisting in coordinating implementation activities with local authorities, partners, and stakeholders. 1
  • Monitor the work of implementing partners, reporting any non-compliances to the supervisor. 1
  • Provide guidance and training to new or junior staff members. 1
  • Perform other related duties as assigned by the supervisor.

Required Qualifications:
Candidates must possess a school diploma with five years of relevant experience, or a Bachelor's degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited institution, along with three years of relevant professional experience. Accredited universities are those listed in the UNESCO World Higher Education Database. Candidates should demonstrate strong administrative skills, attention to detail, and the ability to work collaboratively in a multicultural environment.

Educational Background:
The educational background required for this position includes a school diploma with five years of relevant experience or a Bachelor's degree in a relevant field such as Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, or Law. The degree must be from an accredited academic institution, as recognized by the UNESCO World Higher Education Database, ensuring that candidates have a solid foundation in the principles and practices related to migration and humanitarian assistance.

Experience:
Candidates should have experience in liaising with governmental authorities, national and international institutions, UN agencies, and NGOs. Experience working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups is essential. Prior work experience with international humanitarian organizations or in a multicultural setting is considered an advantage, as it demonstrates the candidate's ability to navigate complex environments and understand the challenges faced by diverse populations.

Languages:
Fluency in English, Russian, and Uzbek (both oral and written) is mandatory for this position. Additionally, working knowledge of other UN or regionally spread languages is desirable, as it enhances communication with a broader range of stakeholders. Proficiency in the required languages will be specifically evaluated during the selection process, which may include written and/or oral assessments to ensure candidates meet the linguistic demands of the role.

Additional Notes:
This position is subject to local recruitment, meaning only candidates holding a valid residence and work permit for Uzbekistan will be considered. The appointment will be contingent upon certification of medical fitness, verification of residency, visa, and necessary authorizations by the concerned government. The selection process may also be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment in similar roles for a period of 24 months.
