Job Overview: The Senior Project Associate (DHRR Support) will play a crucial role in supporting the Global Rapid Response Team (RRT) managed by the Department of Humanitarian Response and Recovery (DHRR) at IOM Headquarters. This position involves coordinating program support functions for the team, which includes managing deployments, liaising with Regional Offices, and tracking resources and operational processes. The successful candidate will be responsible for planning, coordinating, implementing, and monitoring the activities of the Rapid Response Team, ensuring that all operations run smoothly and efficiently. This role requires strong organizational skills, attention to detail, and the ability to handle a substantial volume of operational correspondence and documentation, including sensitive materials. The Senior Project Associate will also facilitate communication and information flow within the team and with external stakeholders, ensuring that all necessary documentation and authorizations are in place for deployments.
Duties and Responsibilities: The duties and responsibilities of the Senior Project Associate include:
Supporting the planning, coordination, implementation, and monitoring of Rapid Response Team activities, including tracking deployments, expenditures, and budgets.
Facilitating communication and information flow between the Rapid Response Team and Regional Offices, as well as the Preparedness and Humanitarian Response Division in HQ.
Coordinating and handling operational and program-related correspondence and documentation, ensuring accuracy and completeness.
Managing end-to-end deployment arrangements for Rapid Response Team members, including travel documentation and compliance with internal procedures.
Performing various program and administrative duties, such as preparing documentation for contract extensions and contributing to budget preparation.
Monitoring and processing administrative actions through IOM's computerized systems, maintaining accurate records and timely follow-up.
Maintaining organized filing and reference systems for the team and proposing adjustments to improve efficiency.
Performing other duties as required to support the team's objectives.
Required Qualifications: The ideal candidate for the Senior Project Associate position should possess the following qualifications:
A Bachelor’s degree in business administration or a related discipline from an accredited academic institution, or a high school diploma with six years of relevant professional experience.
Demonstrated ability to coordinate multiple work assignments efficiently and effectively.
Proficiency in Microsoft Office tools, including Word, Excel, PowerPoint, and web-based applications.
Prior work experience with international humanitarian organizations or government institutions in a multicultural setting is an advantage.
Understanding of conflict sensitivity principles and the ability to apply conflict analysis tools throughout the project cycle.
Educational Background: Candidates must have a Bachelor’s degree in business administration or a related discipline from an accredited academic institution. Alternatively, candidates with a high school diploma must have six years of relevant professional experience. Accredited universities are those listed in the UNESCO World Higher Education Database, ensuring that the educational background meets international standards.
Experience: Candidates should have a demonstrated ability to coordinate multiple work assignments efficiently and effectively. Experience in international humanitarian organizations or government institutions in a multicultural setting is highly desirable. Familiarity with administrative and financial rules and procedures, as well as knowledge of International Public-Sector Accounting Standards (IPSAS) and SAP, is considered an advantage. The candidate should also possess strong attention to detail and the ability to organize information systematically.
Languages: Fluency in English, both oral and written, is required for this position. A working knowledge of other official UN languages, such as French or Spanish, is considered an advantage. Proficiency in the required languages will be specifically evaluated during the selection process, which may include written and/or oral assessments.
Additional Notes: This position is subject to local recruitment, and only candidates holding a valid residence and work permit for Greece will be eligible for consideration. The appointment will be contingent upon certification of medical fitness, verification of residency, visa, and necessary authorizations by the concerned government, where applicable.
