Job Overview:
The Senior Knowledge Management Associate will play a crucial role in ensuring that knowledge assets related to key operational services such as Recruitment Administrative Services (RAS), Individual Consultancy Services (ICS), Travel, and Remote Support are accurate, accessible, and integrated into existing knowledge systems. This position involves maintaining existing materials and creating new content in collaboration with technical counterparts, ensuring that all knowledge assets are up-to-date and aligned with current workflows and policies. The role is essential for supporting the rollout of new services and requires effective stakeholder engagement to validate content and ensure its accuracy. The associate will also participate in regular project team meetings to stay informed about evolving timelines and needs, contributing to the overall success of the knowledge management initiatives within UNICEF.

Duties and Responsibilities:
  • Knowledge Asset Management: Review and update existing service-related knowledge materials, ensuring alignment with current workflows, policies, and system changes. Integrate updated materials into the Service Gateway KM Library and other relevant platforms.
  • Content Development & Coordination: Coordinate the creation of new materials where documentation is missing or outdated, ensuring that content is user-friendly, consistent in tone and format, and meets Knowledge Management standards.
  • System Integration & Maintenance: Tag and categorize content for searchability and relevance, monitor usage and feedback to identify gaps or areas for improvement, and support automation efforts such as expiry tracking and version control.
  • Stakeholder Engagement: Liaise with service owners and technical counterparts to validate content, collaborate with KM focal points and the Business Innovation Support (BIS) knowledge management team, and participate in KM network activities to share updates and gather input. Attend regular project team meetings to understand the evolving timelines and needs of new services, and participate in service-specific meetings as needed.

Required Qualifications:
The ideal candidate should possess strong knowledge management skills, with a proven ability to manage and organize knowledge assets effectively. They should demonstrate excellent communication skills, both written and verbal, and have a collaborative mindset to work with various stakeholders. Familiarity with knowledge management best practices and tools is essential, along with the ability to adapt to changing environments and priorities. The candidate should also have a strong attention to detail and the ability to produce high-quality content that meets organizational standards.

Educational Background:
A bachelor's degree in a relevant field such as information management, library science, social sciences, or a related discipline is required. A master's degree in a relevant field is preferred and may be advantageous for this position. Additional certifications in knowledge management or related areas would be beneficial.

Experience:
Candidates should have a minimum of 3-5 years of experience in knowledge management, content development, or a related field. Experience working in international organizations or non-profits is highly desirable. The candidate should demonstrate a track record of successfully managing knowledge assets and collaborating with diverse teams to achieve common goals.

Languages:
Fluency in English is mandatory, as it is the working language of UNICEF. Knowledge of additional languages, particularly those relevant to UNICEF's operational areas, would be considered an asset and beneficial for effective communication within the organization.

Additional Notes:
The position is based in Budapest, Hungary, and offers a safe and vibrant living environment. The initial contract is issued upon the start of the assignment, with the possibility of extension based on operational necessity and satisfactory performance. The role is a full-time position, and while it is a volunteer role, it comes with various entitlements and allowances to support a secure standard of living. Monthly living allowance, entry lump sum, exit allowance, and medical insurance are provided.
