Job Overview:
The Program Assistant position is integral to the Office of the director" style="border-bottom: 1px dotted #007bff !important;">Executive Director for Denmark, Estonia, Finland, Iceland, Latvia, Lithuania, Norway, and Sweden. The successful candidate will be responsible for providing high-quality administrative support to the Executive Director’s office, ensuring smooth operations and effective communication with various stakeholders, including senior management, government officials, and other departments within the World Bank Group. The role requires a proactive individual with excellent organizational and interpersonal skills, capable of managing multiple tasks in a fast-paced environment. The Program Assistant will also assist with research assignments and support the Executive Director and Advisors in their work, contributing to the overall effectiveness of the office.

Duties and Responsibilities:
The Program Assistant will perform a wide range of duties, including but not limited to: managing priorities and workflow for the Executive Director and team members, preparing and handling sensitive information, scheduling appointments, coordinating travel, drafting and editing documents, responding to inquiries, ensuring the availability of background materials for meetings, conducting research on various topics, maintaining contact lists and filing systems, and providing logistical support for significant events such as the yearly Spring and Annual Meetings. The role also involves screening and prioritizing correspondence, tracking inquiries, and assisting with administrative arrangements for staff appointments and relocations. The Program Assistant will work closely with the Senior Executive Assistant and may be required to back up their duties as needed.

Required Qualifications:
Candidates must possess a high school diploma and a minimum of 7 years of relevant experience, or an equivalent combination of education and experience, with an undergraduate degree preferred. The ideal candidate will have excellent office support and organizational skills, a proactive approach to prioritizing tasks, and the ability to deliver assignments under pressure. Proficiency in written and spoken English and a Nordic or Baltic language is essential, along with familiarity with Nordic and Baltic government systems. Strong interpersonal skills, discretion in handling confidential information, and the ability to work effectively in a multicultural environment are critical for success in this role.

Educational Background:
A high school diploma is required, with a preference for candidates holding an undergraduate degree. Relevant experience in administrative support roles is essential, and familiarity with the World Bank Group's administrative procedures is desirable. Candidates should demonstrate a strong command of written and spoken English and a Nordic or Baltic language, showcasing their ability to draft formal correspondence and edit materials accurately.

Experience:
The position requires a minimum of 7 years of relevant experience in administrative support or a related field. Candidates should have a proven track record of managing office operations, handling sensitive information, and providing high-level support to senior executives. Experience in a fast-paced environment and the ability to manage multiple tasks simultaneously are crucial for this role.

Languages:
Proficiency in English is mandatory, along with fluency in a Nordic or Baltic language. The ability to draft and edit correspondence in both languages is essential for effective communication within the office and with external stakeholders.
