Job Overview: The Management Services Officer position is based in the Sudan Country Office in Port Sudan and reports to a senior Management Services Officer or designate. The role is crucial in providing support for the delivery of high-quality, client-focused services within the Management Services portfolio. This position is designed to enable WFP to effectively deliver food assistance to beneficiaries in alignment with WFP’s strategic objectives. The job holder will be expected to work under the supervision of a more experienced staff member, receiving guidance and regular feedback on their work. The role involves assisting with the preparation of Management Services components of WFP’s Country Strategic Planning and Resource Planning, ensuring that services are efficient and effective. The officer will also be responsible for collating data, preparing analyses, and maintaining relationships with internal and external stakeholders to enhance service delivery and operational efficiency.
Duties and Responsibilities:
Assist in preparing Management Services components of WFP’s Country Strategic Planning (CSP) and Resource Planning to facilitate efficient service delivery.
Support the preparation of functional annual plans and implementation of policies, procedures, processes, standards, and systems aligned with WFP’s strategic objectives.
Collate data and conduct basic analyses to support planning and decision-making.
Identify resource requirements to ensure efficiency, cost-effectiveness, and timely operations.
Maintain working relationships with WFP’s internal and external stakeholders, including other UN agencies and government entities, to ensure effective data exchange and cooperation.
Suggest improvements to services and facilities related to Occupational Safety and Health (OSH).
Utilize digital tools and applications effectively, collaborating with technical experts to adopt innovative technologies that enhance operational workflows and customer service.
Assist in preparing and implementing UN Reform related inter-agency initiatives to achieve cost savings and improve service quality. 1
Support field missions by documenting issues and proposing solutions related to services or products. 1
Organize and design learning initiatives to build the capacity of WFP staff and partners regarding Management Services regulations and procedures. 1
Follow standard emergency preparedness and response practices to support WFP in deploying resources to affected areas quickly.
Required Qualifications: Candidates must possess an advanced university degree in Business/Public Administration, Engineering, or a relevant field related to office management and administration. Alternatively, a first-level university degree with additional years of related work experience and/or training/courses is acceptable. The role requires at least one year of postgraduate professional experience with an advanced university degree or three years with a first-level university degree. Desired qualifications include experience or training in travel and the ability to derive insights from data, trends, and performance metrics.
Educational Background: The educational background required for this position includes an advanced university degree in a relevant field such as Business/Public Administration or Engineering. A first-level university degree is also acceptable if accompanied by additional relevant work experience or training. This educational foundation is essential for understanding the complexities of management services and office administration within the context of humanitarian operations.
Experience: The position requires at least one year of postgraduate professional experience for candidates with an advanced university degree. For those with a first-level university degree, a minimum of three years of relevant work experience is necessary. This experience should ideally include exposure to management services, data analysis, and operational support within a humanitarian or similar context.
Languages: Fluency in English and Arabic is mandatory for this position, with a proficiency level of C in both languages. This bilingual requirement is crucial for effective communication within the diverse environment of WFP and for engaging with various stakeholders in the region.
