Job Overview:
The Programme Associate position at UN Women is integral to the development and implementation of effective programs aligned with the organization's rules and regulations. The successful candidate will work closely with the Women’s Peace and Humanitarian Fund Program Manager and the Programme Team, providing essential support in various areas including research, financial management, and program implementation. The role requires a proactive approach to administrative and logistical support, ensuring that programs are effectively managed and that all necessary operational, administrative, and programmatic support is provided. The Programme Associate will also be responsible for facilitating communication and collaboration between the Country Office (CO), Multi-Country Offices (MCOs), and UN Women Headquarters, particularly in resolving complex finance-related issues and sharing information.

Duties and Responsibilities:
  • Provide administrative and logistical support for program formulation and management, including preparation of work plans, budgets, and proposals. Offer technical guidance on routine delivery and reporting of program activities and finances. Prepare information for audits and support the implementation of audit recommendations. Review program data for the CO website and compile necessary information for documents and reports.
  • Assist in financial management by creating projects in the Quantum system, preparing budget revisions, and monitoring budget preparation. Review financial reports, process recruitment and payments for consultants, and maintain internal expenditure control systems.
  • Undertake logistical and administrative arrangements for meetings, workshops, and events, including travel arrangements for the Programme Team. Prepare public information materials and provide guidance to Programme Assistants.
  • Support resource mobilization efforts by preparing agreements and processing information from donors and the program team.
  • Facilitate knowledge building and sharing by synthesizing lessons learned and organizing training for office personnel and partners.
  • Perform other duties as necessary for the efficient functioning of the office and organization.

Required Qualifications:
The position requires a minimum of secondary education, with a Bachelor’s degree in business or public administration being desirable. Candidates must demonstrate strong administrative skills and the ability to execute processes and transactions effectively. Proficiency in managing data, documents, and reports is essential, along with strong financial and budgeting skills. IT skills are also crucial for this role, particularly in using multiple office software packages and modern web-based ERP systems, preferably Oracle Cloud.

Educational Background:
Completion of secondary education is required for this position. A Bachelor’s degree in business or public administration is preferred, as it provides a solid foundation for the administrative and program management tasks associated with the role.

Experience:
Candidates must have at least 6 years of progressively responsible experience in administration or program management/support. Experience in a computer environment using various office software packages is required, as is experience in supporting a team. Familiarity with modern web-based ERP systems, particularly Oracle Cloud, is desirable but not mandatory.

Languages:
