Job Overview: The Program Associate position at UN Women involves providing comprehensive support to the Programme Team in the development and implementation of effective programs that align with UN Women’s rules and regulations. The role requires collaboration with various personnel within the Country Office (CO) and UN Women Headquarters to resolve complex finance-related issues and facilitate the exchange of information. The Program Associate will be responsible for administrative and logistical support, financial management, and program implementation, ensuring that all activities are executed efficiently and effectively. This position is crucial in maintaining the operational integrity of the programs, particularly in the context of the ongoing humanitarian crisis in Sudan, where the needs of women and girls are paramount. The incumbent will also contribute to research and data compilation, which is essential for informed decision-making and program adjustments.
Duties and Responsibilities:
Provide administrative and logistical support for program formulation and management, including preparing work plans, budgets, and proposals.
Offer technical guidance to CO/MCOs and executing agencies on program delivery and reporting.
Prepare information for audits and support the implementation of audit recommendations.
Review program data for the CO website and compile necessary information for documents and reports.
Assist in financial management by creating projects in the Quantum system, preparing budget revisions, and monitoring finances.
Maintain internal expenditure control systems and process recruitment and payments for consultants.
Organize logistical arrangements for meetings, workshops, and events, including travel arrangements for the Programme Team.
Prepare public information materials and briefing packets, and provide training to Programme Assistants.
Support resource mobilization efforts by preparing agreements and processing donor information. 1
Facilitate knowledge sharing by synthesizing lessons learned and organizing training for office personnel and partners. 1
Perform other duties as necessary for the efficient functioning of the office and organization.
Required Qualifications: The position requires a minimum of secondary education, with a Bachelor’s degree in business or public administration being desirable. Candidates must have at least 6 years of progressively responsible experience in administration or program management/support. Proficiency in using multiple office software packages and experience in supporting a team are essential. Familiarity with modern web-based ERP systems, preferably Oracle Cloud, is also desirable. Strong financial and budgeting skills, along with the ability to manage data and documents effectively, are critical for this role.
Educational Background: Completion of secondary education is required for this position, while a Bachelor’s degree in business or public administration is preferred. This educational background provides the foundational knowledge necessary for effective program management and administrative support.
Experience: Candidates must possess at least 6 years of progressively responsible experience in administration or program management/support. This experience should include working in a computer environment with multiple office software packages and supporting a team in various capacities. Familiarity with modern web-based ERP systems, particularly Oracle Cloud, is a plus, as it enhances the ability to manage financial and operational processes efficiently.
