The organization has been operational in Indonesia since 1979, initially addressing the needs of Vietnamese boat arrivals. Over the years, UNHCR Indonesia has facilitated comprehensive solutions for refugees and asylum-seekers from more than 50 countries, ensuring appropriate protection interventions and registration processes.
Job Overview: The Senior Registration Assistant is a vital member of the Registration team within UNHCR. This position is primarily responsible for supporting all activities related to the registration of asylum-seekers and refugees. The incumbent will engage in various functions, including reception, filing, and data management. A significant aspect of the role involves providing counselling and responding to inquiries from asylum-seekers and refugees regarding UNHCR's registration procedures, their rights, and entitlements. The Senior Registration Assistant will work closely with protection staff and partners to ensure timely identification and referral of refugees and asylum-seekers for protection follow-up. Additionally, the incumbent will manage activities related to the Digital Gateway (DG) self-service portal, including testing new functionalities, addressing technical inquiries, conducting verification interviews, and drafting user guides and training materials. The role also involves generating statistics and drafting reports related to the DG self-service portal, as well as compiling and analyzing information related to registration activities in the operation.
Duties and Responsibilities: The duties and responsibilities of the Senior Registration Assistant include: assisting in the implementation of registration strategies and methodologies for persons of concern (POC); conducting registration interviews in accordance with established standards; providing counselling and responding to queries from asylum-seekers and refugees; maintaining accurate and up-to-date records and data related to individual registration cases; identifying persons with specific needs and ensuring timely referrals for protection follow-up; collaborating with protection staff and partners in delivering assistance and programming; drafting correspondence and reports related to registration activities; providing statistics and drafting reports related to registration data; acting as an interpreter and translator when needed; referring cases to other units and implementing partners; and performing other related duties as required. All UNHCR staff members are accountable for their duties as reflected in their job descriptions, adhering to the regulatory framework of UNHCR, including the UN Charter and relevant policies.
Required Qualifications: The position requires a minimum of 2 years of relevant experience with a High School Diploma or 1 year of relevant work experience with a Bachelor’s degree or equivalent. Essential qualifications include good computer skills, particularly in data management. Desirable qualifications include training in the basic principles of international protection and experience working with UNHCR proGres software. Functional skills required for this position include data management, computer literacy, data collection and analysis, and experience in international organizations, particularly in registration processes.
Educational Background: Candidates must possess a High School Diploma or a Bachelor’s degree or equivalent in relevant fields such as Social Science, Statistics, Mathematics, or Information Technology. Certificates in these areas are essential for the role, particularly those marked with an asterisk in the job description.
Experience: The role requires candidates to have at least 2 years of relevant experience with a High School Diploma or 1 year of relevant work experience with a Bachelor’s degree or higher. Experience in data management and familiarity with UNHCR processes are highly desirable, as well as any experience in international organizations.
